
Operational Administrator

We are seeking a seasoned Administration Manager / Asst. Admin. Manager to oversee daily support operations and plan efficient administrative procedures.
- Plan and coordinate administrative processes, devising ways to streamline workflows.
- Assess admin staff performance, providing coaching and guidance for maximum efficiency.
- Monitor office supplies inventory, purchasing new materials while adhering to budgetary constraints.
- Oversee facilities services, maintenance activities, and tradespersons (e.g., electricians).
- Organize and supervise other office activities (recycling, renovations, event planning etc.).
- Manage housekeeping, security, pantry, and cleanliness.
- Ensure operations adhere to policies and regulations.
- Stay informed about organizational changes and business developments.
- Facilitate smooth information flow within the company to support other business operations.
- Negotiate with vendors and travel agents to secure optimal prices.
- Manage employee calendars and arrange travel itineraries and accommodations (Domestic & International).
- Select and manage vendors, coordinating delivery commitments.
- Purchase, re-order, and maintain housekeeping supplies and other inventory.
- Maintain and upkeep all office assets.
- Administrate Annual Maintenance Contracts.
- Establish and maintain good relations with government bodies and police officials.
- Track expenses to ensure compliance with cost budget.
- Submit MIS report on Administration expenses to relevant Senior Authority.
Required Skills and Qualifications:
- Ability to work independently with minimal supervision.
- Excellent documentation skills using MS Word, PowerPoint, Excel, etc.
- Strong interpersonal skills and willingness to communicate with clients, colleagues, and management.
- Good time management skills, including prioritizing, scheduling, and adapting as necessary.
- Excellent Oral & Written Communication skills.
- Strong team player with experience in admin support services.
- Good mailing communication and basic drafting skills.
- Pro-active and reliable individual able to perform well in challenging situations.
