Customer Order Service Executive Job Description

The primary objective of this role is to ensure seamless order fulfillment, guaranteeing accurate and timely communication with customers.

Key Responsibilities:
  1. Order Processing: Receive and process orders through manual or online platforms, verifying parameters for precise invoicing.
  2. Customer Communication: Respond to customer inquiries and escalate complex issues to specialized teams in a timely manner.
  3. Accurate Order Inputs: Maintain accurate order inputs, including customer code, pricing, quantity, products, ship-to, and bill-to information.
  4. Monitoring Invoicing and Delivery: Monitor invoicing and delivery timelines at customer sites, ensuring prompt execution.
  5. Credit Hold Management: Collaborate with the Credit Team to release orders from credit hold.
  6. Order Blocks Removal: Remove order blocks through close coordination with cross-functional teams.
  7. Internal Orders Creation: Create internal/demo orders by coordinating with Channel partners/Sales Teams.
  8. Supply Chain Coordination: Interact with Sales Ops, Supply Chain, and WH teams for product availability and inform customers on order status.
  9. Financial Document Creation: Generate financial documents in SAP as per business cases.
  10. Document Collection: Collect relevant documents from Logistics and Customers' acceptance to trigger invoicing.
  11. Issue Resolution: Work closely with Field teams and Sales operations to resolve issues not within BOC's immediate scope.
  12. Defective Product Claims: Manage customer claims on defective products in SAP, coordinating with Customers, Manufacturing, Logistics, Transportation, and seeking approvals.
  13. Audit Documentation: Maintain relevant documentation for audit needs.
  14. Stakeholder Governance: Participate in governance calls with internal & external stakeholders.
