The administration role is a pivotal position within the educational sector, overseeing the daily functioning of schools and ensuring that administrative duties are executed smoothly and efficiently.
Key Responsibilities:
- Administrative Duties:
- Manage daily administrative activities related to school operations, including requisitions for curriculum support and inventory management.
- Ensure timely updates on student and staff data, circulars, school events, tests, examinations, trips, and other essential records.
- Evaluate quality standards for various services provided to the school, such as transport, catering, security, uniforms, and those impacting teaching and learning domains.
- Arrange training programs, workshops, field trips, and special events, ensuring timely and cost-effective arrangements.
- Maintain a cooperative school-community relationship through effective interaction and issue resolution.
- Resolve day-to-day issues related to external vendors and agencies within specified timeframes.
- Present regular MIS reports to the Principal.
- Conduct functional MBWA (Management by Walking Around) with the Vice-Principal and Principal.
- Brief the Principal on urgent and important matters immediately.
- Accountabilities:
- The following accountabilities outline major administrative functions for which the administrator is directly accountable:
- Efficiently manage Administrative functions in the School, resolving issues within agreed times and dates.
- Manage Operations - Logistics, Security, Housekeeping, and Support Staff effectively.
- Manage Operations & Records - Resources, Furniture, Tools, Equipment, Uniforms, and Fixtures efficiently.
- Ensure Maintenance & Repairs - Around the school & Ground are completed promptly.
- Document Staff, Students, School Circulars, Events, Test, Examination Schedules, and Trips efficiently.
- Record and check various services to the School, such as Transport, Catering, Security, Uniforms, and those affecting Teaching & Learning domains.
- Implement ancillary management effectively.
- Maintain School Safety Equipment always in top condition.
- Cultivate a cooperative school-community relationship.
- Resolve day-to-day issues related to external vendors and agencies within stipulated dates.
- Keep administrative documents regularly updated and well-maintained.
- Bring all urgent and important issues to the notice of the Principal immediately.
- Contribute to the company's values being understood, accepted, and practiced.
- Perform additional duties as directed by the Principal.
- Requirements:
- A Business degree is required. A minimum of 5-8 years' experience, with at least 2 years in the education industry, is necessary.
- Desirable qualifications include an MBA in Finance/Marketing/Operations, and experience in education, telecom, insurance, retail, or IT training sectors.
- Competencies:
- The ideal candidate should possess strong functional competencies in Business Understanding, Planning & Organizing Skills, Problem Solving, Relationship Building, Ability to Crunch Numbers, Excellent Verbal & Written Communication Skills, Decision Making, Self-Driven, Emotional Intelligence, Assertiveness, Analytical Thinking, Ability to Work Under Pressure, and Manage Multiple Stakeholders.
