Job Title: Main Office CoordinatorWe are seeking a highly skilled and organized professional to join our team as a Main Office Coordinator. As a key member of our office support staff, you will be responsible for ensuring the smooth functioning of our day-to-day operations.Key Responsibilities:
  • Greet and welcome visitors, clients, and guests in a friendly and professional manner, providing a positive first impression of our organization.
  • Manage incoming calls, directing them to the appropriate departments or personnel, and responding to queries as required.
  • Maintain accurate records of check-ins and check-outs for guests, ensuring seamless coordination with other teams.
  • Coordinate appointment schedules and meeting room bookings, optimizing space usage and minimizing conflicts.
  • Ensure the front office area is clean, organized, and well-maintained, reflecting positively on our organization's image.
  • Assist with administrative tasks such as email management, filing, and document preparation, maintaining confidentiality when necessary.
  • Provide information to visitors, clients, and staff as required, demonstrating excellent communication skills and attention to detail.
  • Support the efficient functioning of office operations, resolving inquiries and issues promptly and escalating concerns when necessary.
  • Handle courier and postal services, including receiving and sending packages, ensuring timely delivery and processing.
  • Monitor and maintain security procedures for guest and visitor access, upholding our organization's safety protocols.
  • Collaborate with the HR team to facilitate onboarding new employees, handling related documentation and ensuring a smooth transition.
  • Address customer complaints or issues efficiently, escalating concerns to supervisors when necessary, while ensuring customer satisfaction.
About You:
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues, clients, and visitors.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software an asset.
  • Able to work independently and as part of a team, adapting to changing priorities and deadlines.
