Operations Coordinator Job Description

We are seeking a highly organized and detail-oriented Operations Coordinator to join our team. As an Operations Coordinator, you will play a crucial role in ensuring timely pickup of shipments from customers and connecting them onto the network as per set cut offs.

The successful candidate will be responsible for:

  • Ensuring adherence to operational workflows and standard operating procedures (SOPs) defined for service centre outbound operations.
  • Monitoring daily in scan and out scan of shipments and related paperwork.
  • Conducting daily staff briefings, including communication regarding any operational changes, route changes etc.
  • Distributing pickups among the team and ensuring timely pickups from regular customers as per agreed cut-off times.
  • Reducing nil pickup wastages among regular pickup clients through feedbacks, visits to clients, telephonic interaction & overall monitoring of staff wise productivity.
  • Ensuring correctness of cash sale bookings in terms of pick up address, pickup times etc; Reporting pickup exceptions to Customer Service /Sales as feedback.
  • Ensuring timely and correct data capture for all pickups.
  • Ensuring timely deposit of the cash sales amount collected to accounts.
  • Ensuring timely connection of outbound loads onto hubs /warehouse to enable delivery commitments.
  • Monitoring and reviewing operations processes on sorting and bagging of shipments.
  • Monitoring expenses by way of adherence to vehicle log checks daily and ensuring timely reimbursement of fuel conveyance expenses to staff.
  • Auditing of AWBs (Air Way Bills) to detect AWB filling errors and data entry errors for improvement.
  • Monitoring Net Service Levels and taking corrective actions, if any.
  • SUPPORTING SALES IN BILLS DISTRIBUTION & COLLECTIONS.
  • Ensuring safe handling of all shipments at the service center; Handling security exceptions in the service center along with the security team.
  • Monitoring performance of staff in the Service Centre and ensuring conduct of trainings for regular staff, PDAs, etc. in line with the training programmes designed centrally.
  • Ensuring adequate manning in terms for full-time employees, PDAs etc.
  • Generating and maintaining MIS related to the service center.
