The role of an Executive Assistant to the Chief Executive Officer at Anand Rathi Insurance Brokers Ltd is a vital position that requires exceptional organizational skills, strong communication abilities, and adaptability.

**Job Summary**

The successful candidate will provide comprehensive administrative support to the Director and CEO, ensuring seamless coordination and effective communication with internal and external stakeholders. This includes managing schedules, coordinating meetings, handling confidential information, and facilitating optimal decision-making and execution of strategic initiatives.

**Key Responsibilities**

- Efficiently manage and coordinate calendars, schedules, and appointments for the Director and CEO
- Prioritize and arrange meetings to ensure optimal time management and alignment with strategic objectives
- Facilitate effective communication between the Director, CEO, and internal/external stakeholders by managing emails, letters, and phone calls
- Draft and proofread correspondence on behalf of the Director and CEO, ensuring accuracy and professionalism
- Organize, coordinate, and document meetings, ensuring all necessary materials and documents are prepared and distributed in advance
- Record minutes of meetings and follow up on action items to support efficient decision-making and project execution
- Maintain strict confidentiality in handling sensitive information related to the Director, CEO, and organizational matters
- Safeguard and manage confidential documents and data in a secure and organized manner
- Arrange travel logistics, including flights, accommodations, and transportation, for the Director and CEO
- Create detailed travel itineraries and ensure smooth travel experiences

**Requirements**

To be successful in this role, you should possess:

- Strong organizational abilities to efficiently manage multiple tasks, deadlines, and priorities
- Excellent written and verbal communication skills to effectively interact with diverse stakeholders
- Ability to handle urgent matters and adapt to changing priorities
- Flexibility and adaptability in a fast-paced work environment
- Proficiency in using office productivity software (Microsoft Office, Google Workspace) and calendar management tools
- A bachelor's degree in business administration, office management, or a related field is preferred, as well as prior experience in executive assistant roles or administrative positions supporting senior management
