Job Title: Senior Executive - Event Production, Corporate Event Management
Location: Koramangala, Bangalore
Job Type: Full-time
Reports To: Operations Manager
Overview:
- The Event Production Executive is responsible for preparing estimate & element sheet, planning, coordinating, and executing the technical and logistical aspects of corporate events. This role ensures all production elements are delivered efficiently and to the highest quality, providing a seamless experience for attendees and clients.
Key Responsibilities:
- Event Planning & Coordination:
- Collaborate with the event team to plan the logistics, technical setup, and production timeline for corporate events.
- Manage pre-event site inspections, ensuring the venue meets all production and logistical requirements.
- Coordinate with vendors, suppliers, and contractors for equipment rental, staging, lighting, sound, and AV setups.
- Vendor & Supplier Management:
- Liaise with production vendors such as lighting, sound, AV, staging, and decor suppliers.
- Ensure timely delivery, setup, and breakdown of all production elements.
- Negotiate contracts with vendors to ensure cost-effective solutions within budget.
- On-site Event Management:
- Oversee the installation of all technical and production elements on event day (e.g., staging, lighting, sound, AV).
- Manage event setup, technical rehearsals, and troubleshooting on-site to ensure smooth execution.
- Ensure safety protocols are followed by all on-site vendors and staff during setup, event operations, and teardown.
- Budget & Resource Management:
- Assist with managing event production budgets, ensuring costs are kept within agreed parameters.
- Track and reconcile production expenses post-event.
- Optimize the use of resources to ensure efficient and effective production setups.
- Client & Stakeholder Collaboration:
- Work closely with event managers, clients, and other stakeholders to understand event goals and production needs.
- Provide regular updates and feedback on production progress and logistical planning.
- Offer solutions and adaptations to ensure the event meets or exceeds client expectations.
- Post-event Review:
- Conduct post-event debriefs to evaluate the success of production and identify areas for improvement.
- Gather feedback from vendors and clients for continuous improvement of event production processes.
Qualifications:
- Min. Diploma in Corporate Event Management, Hospitality, Production, or related field (or relevant experience).
- 3+ years of experience in event production or related roles, preferably in corporate events, experiential marketing, event marketing or live event production.
- Familiarity with staging, lighting, sound, and AV technology.
- Strong project management and organizational skills, with the ability to multitask and meet deadlines.
Key Competencies:
- Ability to work under pressure and solve problems in high-stress, fast-paced environments.
- Excellent communication (English & Kannada compulsory) and interpersonal skills to manage vendors, clients, and internal teams.
- Attention to detail and commitment to delivering high-quality production elements.
- Strong negotiation skills with vendors and suppliers.
Preferred:
- Experience with corporate events, experiential marketing, conferences, exhibitions, product launchs, or large-scale productions.
- Familiarity with event management software and tools.
- Knowledge of health and safety regulations as they apply to event production.
