Job Purpose:

The role of the PMO will be to be the centralised role that provides a focal point in project & program

management. PMO will also provide centralised performance reporting for all projects, facilitate the

Quality Assurance process and acts as a central liaison function point between the business areas,

operations and project & programmed delivery


Job Context

The PMO will be an independent Governance enforcing vertical which will report directly to the Head of IT.

The main responsibilities of the role will be to set up and keep evolving the Governance Model for the IT

Department (for new initiatives and BAU activities) to align with the changing needs of the Organization.

These responsibilities would include amongst others:

1) Defining policies and procedures

2) Ensure Project Management standards are followed

3) Managing and facilitating portfolio management

4) Monitoring Budget consumption and alerting management on any potential concern areas

5) Improving Management insight through the introduction of a consistent and factual reporting

framework across the change and BAU portfolio

6) Drive Process improvements

7) Monitoring and ensuring defined policies, procedures and standards are followed

8) Increase Project Delivery predictability by identifying and addressing potential problem areas

across projects

9) Organize IT Governance meetings at defined frequency


Key Challenges for the role are as follows:

a) Develop the Governance Structure grounds up.

i. The right balance has to be struck in defining a Governance model which ensures a high

standard of functioning of the IT department but still providing the flexibility required in a

highly evolving organization.

ii. The Governance model will have to address the complexities of working in a Multi Layered

Organization Structure, with BSLAMC being under the ABFSG umbrella

b) Drive the Governance model and ensure compliance

i. Any change which leads to be a more structured way of working, initially meets with

resistance. Therefore, one of the most important KRAs would be to ensure that the

Governance model is followed diligently by all team members.


Principal Accountabilities


Defining Governance Structure


o To ensure that the IT department activities conform with the policies and Governance defined

o To organize IT Governance meetings (internal and with management) on a regular basis

o The Policies, standards and templates have to be updated regularly to incorporate learning’s and adapt to the changing needs of the organization

o To ensure that MoMs for meetings are sent within TAT defined

o Managing and maintaining the budgets for the IT vertical


Monitoring and Ensuring Governance model is followed


o To utilize experience gained by PMO overseeing various Projects, for ensuring best practices and requisite areas and details are incorporated into Project Plan

o To tabulate and monitor the activities / projects assigned to each resource.

This is crucial for projection, planning, resource allocation and execution of

planned and upcoming projects / initiatives

o Ensuring IT department level documentation is up-to-date


Budget Monitoring


o Participate in the Budget definition on an annual basis

o To regularly track the expenses against the budget

o Regular reporting of Budget v/s Actuals to Management.

o Proactively report any Budgetary risks foreseen to the IT Head
