Job Description:
Position Overview: We are looking for a highly organized and detail-oriented Operations Strategy Associate to manage client sessions, coordinate with coaches, and ensure seamless daily operations. This role is vital in maintaining the quality of our client interactions and ensuring that sessions are allocated efficiently and effectively.
Key Responsibilities:
Client Communication:
Be available on WhatsApp during your shift to manage client messages and inquiries.
Check the day's schedule and match client session requests with coach availability and client preferences.
Update the coaches' sheet and the common daily schedule sheet accordingly.
Send session links to clients and ensure they are connected with their assigned coach.
Session Coordination:
Follow up with all active clients about their sessions for the next day.
Assist in creating and updating the next day's schedule based on client confirmations and preferences.
Team Coordination:
Create and manage the roster for the entire team responsible for session scheduling, ensuring 21-hour coverage.
Collaborate with team members across different shifts to ensure smooth handovers and consistent client service.
Process Improvement:
Research and propose new methods to improve the scheduling and coordination process.
Implement technological and procedural improvements to enhance efficiency and client satisfaction.
Qualifications:
Strong organizational skills and attention to detail.
Excellent communication skills, especially on digital platforms like WhatsApp.
Ability to multitask and manage time effectively.
Experience in client service or coordination roles is a plus.
Proactive attitude and problem-solving skills.
Ability to work in a fast-paced environment and adapt to changing schedules.
