We seek a dynamic and customer-oriented Front Office Specialist to join our team at the Head Office in Bandra Kurla Complex, Mumbai. The ideal candidate will be the first point of contact for visitors and callers, ensuring smooth and efficient operations at the front desk while maintaining a professional and welcoming atmosphere.
Key Responsibilities:
Greeting Visitors : Warmly welcome visitors, clients, and employees and direct them to the appropriate departments or personnel.
Call Handling: Manage incoming phone calls, route them to the appropriate team members, and handle inquiries efficiently.
Appointment Management: Schedule and manage appointments and meetings for executives, ensuring timely coordination of all bookings.
Visitor Log: Maintain and manage a log of visitors and ensure proper security protocols are followed.
Mail Handling: Receive, sort, and distribute incoming mail, packages, and deliveries; handle outgoing mail and courier services.
Administrative Support: Provide basic administrative and clerical support to various departments, including data entry, filing, and document management.
Office Supplies Management: Monitor and maintain inventory of office supplies and coordinate orders as needed.
Coordinating with Facility Teams: Collaborate with housekeeping and maintenance teams to ensure a clean and well-maintained office environment.
Customer Service: Address general inquiries and provide accurate information about the company to visitors and callers.
Security & Safety: Adhere to security and safety protocols, ensuring all visitors follow office regulations.
Requirements:
Proven experience as a Front Office Executive, Receptionist, or similar role in a corporate setting.
Excellent communication and interpersonal skills.
Professional appearance and attitude.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to manage stressful situations calmly and efficiently.
Attention to detail and problem-solving skills.
Qualifications:
A degree in Hospitality, Business Administration, or a related field is a plus.
2+ years of relevant experience in front-office management or administrative support.
Proficiency in handling office equipment (telephone systems, printers, scanners).
Work Hours: Full-time position, Monday to Saturday.
Location: Bandra Kurla Complex, Mumbai
