AtkinsRalis Ireland is seeking a Proposal Coordinator to join our busy team. The ideal candidate will have bid preparation experience, and a background in the engineering / construction sector while not essential would be an advantage.

The role is suited to a commercially aware multitasker who can organise and prioritise assigned bids. An excellent communicator, they will coordinate inputs from a wide variety of stakeholders for all aspects of proposal preparation, ensuring quality and compelling bids are submitted in a timely manner.

The Proposal Coordinator will engage with Directors, Bid and Project Managers, our Proposal and Marketing Team, and colleagues in other countries. Various teams will provide technical expertise, project knowledge and background to support you to prepare and secure winning bids.

We're looking for that special combination of skills and experience that make for a good Proposal Coordinator. We need the planner & project manager, communicator, analyst, and completer finisher with an eye for detail. Ensuring that the bid is run in accordance with bid best practice and the win work capture plan and pursuit toolkit, and in compliance with the Service Delivery Process.

Job title: Proposal Graphic Designer

Years of experience: 3 - 5 years (proposal design)

Reports To (title): Proposal Managers (USA & India) and Win Work Team Lead (India)

Role: Expected functions

Design and produce branded, RFP-compliant layouts, infographics, and presentation materials that elevate proposal quality and support win themes. Lead layout in Word/PowerPoint and build complex documents, proposal interview slide decks and templates in Adobe InDesign, Illustrator, photoshop and PPT.

Job Duties: Responsibilities

- Own visual strategy and page architecture apply AtkinsRalis brand consistently across Word, PPT, and InDesign deliverables.
- Create pursuit-specific graphics: processes, roadmaps, org charts, schedules, case study callouts, and iconography.
- Lay out proposals in InDesign/Word, manage styles, tables, and cross-references prepare print and screen-optimized PDFs.
- Partner with Proposal Manager/Writer to visualize technical approaches and ensure accessibility and readability.
- Execute rigorous preflight checks (fonts, links, bleeds, bookmarks) and color-review change incorporation.
- Support interview decks and exhibit packages coordinate with print vendors for submission/overnight shipping as required.
- Contribute to template evolution and design system assets within the proposal library
- Take constructive feedback and apply it to enhance the delivery.
- Deadline & Task Management.

Proposal Managers, Writers, Technical SMEs, Compliance/Forms, Print/Production teams.

EXTERNAL CONTACTS (Required interaction/relationship with others outside the organization)

Print and binding vendors subconsultant designers for brand alignment as needed.

Minimum Requirements

EDUCATION AND EXPERIENCE

- Bachelor's degree in Graphic Design/Visual Communication or related field portfolio demonstrating proposal/bid work.
- 3-5 years experience designing proposals within A/E/C or professional services.

SPECIAL SKILLS

- Expert Adobe InDesign, Illustrator, Photoshop advanced MS PowerPoint strong Word styles knowledge.
- Prepress and digital accessibility basics attention to detail and version control.
- Comfort with color reviews and IQR ability to work across time zones and shifting priorities.
- American English grammar proficiency & editing skills
