Representative Office Assistant is a dual-role position that combines providing exceptional customer service and handling administrative tasks This position is essential for organizations seeking to offer both direct support to customers and efficient office management Individuals in this role will assist customers with inquiries provide solutions to issues and manage day-to-day office functions to ensure smooth operations Key Responsibilities Customer Care and Support Customer Inquiries Act as the primary point of contact for customers answering questions via phone email chat or in person and providing information about products services or policies Issue Resolution Address and resolve customer concerns complaints or product service issues promptly and professionally Ensure customer satisfaction by providing clear solutions or escalating issues to the appropriate department if necessary Order Processing and Follow-ups Assist customers with placing orders tracking shipments and processing returns or exchanges Follow up on outstanding requests to ensure timely resolution Feedback Collection Gather customer feedback regarding their experiences and ensure that the information is relayed to the appropriate teams for improvements Administrative and Office Support Office Management Assist in managing day-to-day office activities such as maintaining office supplies organizing paperwork and ensuring the office space is well-kept and organized Documentation and Record-Keeping Maintain accurate records of customer interactions including inquiries complaints feedback and resolutions using CRM systems or other office software Scheduling and Coordination Schedule appointments meetings or conference calls for team members or managers Ensure the proper coordination of tasks and resources across departments Data Entry Perform data entry tasks including updating customer databases processing orders and entering information related to customer service issues Communication Draft emails letters or memos as needed for internal communication or customer correspondence Ensure all communication is clear professional and timely Customer Experience Improvement Customer Engagement Foster positive relationships with customers by delivering a high standard of service and ensuring that all interactions are pleasant and productive Service Improvement Continuously look for ways to improve customer service processes and share insights with the team or management for potential improvements Cross-Functional Collaboration Work closely with other departments such as sales marketing and product teams to ensure that customers receive a seamless experience General Administrative Tasks Mail and Packages Handling Receive and manage incoming mail deliveries and packages Distribute them to the appropriate personnel within the office Expense Tracking Assist in tracking office expenses processing invoices and ensuring proper documentation for any office-related spending Support for Special Projects Assist management with any administrative tasks related to special projects events or campaigns ensuring that logistics are managed efficiently Skills and Qualifications Educational Requirements A high school diploma or equivalent is required A bachelors degree in business administration communication or a related field is a plus Customer Service Experience Previous experience in customer service or office administration is preferred A positive attitude and a customer-first mindset are essential Communication Skills Strong verbal and written communication skills to interact effectively with customers colleagues and management Organization and Time Management Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment Computer Literacy Proficiency in Microsoft Office Suite Word Excel Outlook and familiarity with customer relationship management CRM tools or office software Problem-Solving Skills Ability to address customer issues in a calm efficient and professional manner while finding effective solutions Attention to Detail A keen eye for detail ensuring accurate data entry record-keeping and customer information management Experience Previous experience in customer service office administration or a related role is an advantage However candidates with a strong customer service attitude and a willingness to learn are also encouraged to apply Working Hours This is typically a full-time position with working hours from Monday to Friday 9 00 AM to 6 00 PM Flexibility may be required depending on the organizations needs or during busy periods Career Growth This role provides a solid foundation for growth within the organization Over time individuals can
