Job Description The opportunity The Training Programs and Portal Support Specialist plays a critical role in the effective support of the delivery, promotion, and maintenance of training programs within the organization. This position is responsible for supporting the administrative, logistics, and communication aspects of various training initiatives, as well as ensuring the training portal remains current and aligned with business unit (BU) strategies. The ideal candidate is organized, proactive, detail-oriented, and collaborative, with strong communication and coordination skills. How You'll Make An Impact - Provide comprehensive administrative support for training programs, including scheduling, documentation, attendance tracking, and reporting. - Monitor progress of training-related tasks and initiatives, ensuring timely completion and proper documentation. - Serve as a point of contact for training participants, addressing inquiries, providing information, and supporting their needs throughout the training process for specifics programs. - Coordinate logistical elements of training sessions, such as venue booking, materials preparation, catering, and technical setup. - Assist in preparing and processing purchase orders related to training activities, ensuring compliance with internal procedures. Support on the coordination of some training initiatives, calls, like community monthly calls ensuring proper planning and organization. - Support on creating the material for the different training programs. in coordination with BU training Managers will support to create the presentation and material needed to prepare the different programs. - Support on the regular follow-up of training in KPIs. In coordination with BU LMS Administrator, this person will take care of update reporting about KPIs in training in a regular way to ensure the KPIs and reported according to schedule. - Regularly follow up and update the internal training portal with new programs, schedules, training materials, and other relevant information, in close coordination with stakeholders and strict collaboration with the Communication department. - Regularly follow up and update the Onboarding/Induction portal in coordination with the function stakeholders as owners of the content, and strict collaboration with Communication Department. - Work collaboratively with the BU training team to implement the agreed content plan and ensure information accuracy and timeliness. - Support the regular promotion and communication of new training initiatives, programs, and materials, leveraging internal communication channels and working alongside the communication team. - Monitor the portal for outdated content and technical issues, ensuring a seamless and up-to-date user experience. - Responsible for ensuring compliance with applicable external and internal regulations, procedures, and guidelines. - Living Hitachi Energy's core values safety and integrity, which means taking responsibility for your own actions while caring for your colleagues and the business. Your background - Bachelor's degree in education, Training & Development, Business Administration, Psychology, or a related field. Associate's degree with relevant experience in training coordination or administrative support. - 23 years in training delivery, program coordination, or administrative support roles. Experience in logistics coordination, reporting, and stakeholder communication. - Familiarity with Learning Management Systems (LMS) such as Cornerstone or similar platforms. - Proficiency in Microsoft Office Suite, especially Excel, PowerPoint, and Outlook. Comfortable using SharePoint, Teams, and digital collaboration tools. - Proven experience in administrative support, logistics, or training coordination roles. Strong organizational and multitasking skills with attention to detail. - Ability to work effectively with cross-functional teams and stakeholders. Problem-solving aptitude and proactive approach to task management. - Basic understanding of procurement and purchase order processes is a plus. - Proficiency in both spoken & written English language is required.
