Job brief
We are looking for an experienced Assistant to Director who will provide administrative support and
help with the day-to-day business of the organization. They are responsible for managing the director's
schedule, travel, and correspondence, and for handling confidential information.
Job Description
Administrative Support:
Calendar Management: Scheduling meetings, appointments, and ensuring the director's
calendar is organized and up to date.
Travel Arrangements: Coordinating travel plans, including booking flights, accommodations, and
transportation.
Document Management: Preparing, proofreading, and organizing documents such as reports,
presentations, and correspondence.
Communication:
Liaison: Serving as the point of contact between the director and other internal/external
stakeholders, ensuring communication flows smoothly.
Screening Calls & Emails: Managing incoming calls, emails, and messages, prioritizing them
based on importance, and responding on behalf of the director when appropriate.
Handling Confidential Information: Ensuring discretion and confidentiality in managing sensitive
information.
Meeting Coordination:
Agenda Preparation: Assisting in the preparation of meeting agendas and providing necessary
documents for meetings.
Minutes & Follow-Up: Taking meeting notes, following up on action items, and ensuring tasks
are completed as discussed.
Logistical Support: Organizing virtual or in-person meetings, including setting up conference calls
and arranging necessary materials.
Decision-Making Support:
Research & Analysis: Conducting research or gathering data needed for decision-making or
presentations.
Problem-Solving: Anticipating needs and addressing issues before they become problems,
allowing the director to focus on more strategic tasks.
Requirements and skills
Professionalism: Maintain a professional demeanor and make a favorable impression on
external contacts
Communication: Have excellent written and verbal communication skills
Problem-solving: Have a keen eye for detail and highly developed problem-solving skills
Emotional intelligence: Understand the unspoken needs and characteristics of the people with
whom they work
Qualifications
Bachelor's Degree: A bachelor's degree in any field, though degrees in business administration
(BBA), management, or communication can be advantageous.
Postgraduate Degree (Optional): A candidates with a Master's in Business Administration (MBA)
or other relevant postgraduate qualifications, especially for high-level or corporate
environments.
