Iskraemeco by Kaynes is looking for Manager - HR & Administration - Projects for Ahmedabad location. Job Purpose: The Manager - HR & Administration will oversee HR and administrative operations for the Ahmedabad office and manage a large workforce (on-roll and outsourced) deployed across various project sites in Gujarat. The role requires a seasoned professional capable of implementing HR strategy, ensuring statutory compliance, managing manpower deployment, leading employee relations, and driving operational excellence while aligning with corporate HR policies. Key Responsibilities: A. Office Administration Responsibilities • Lead office administration, facility management, procurement, inventory, and vendor management. • Ensure seamless functioning of office infrastructure, utilities, security, housekeeping, and related services. • Oversee compliance with local statutory and municipal requirements for office and site operations. • Manage travel planning, logistical arrangements, meeting coordination, and project-related mobility. • Drive administrative budgeting, cost optimization, and petty cash governance. • Implement administrative SOPs, safety protocols, and asset management controls. • Plan and lead employee engagement events, celebrations, and employee welfare activities. • Liaise with government bodies, auditors, statutory authorities, and external stakeholders. B. Human Resources Responsibilities Recruitment & Workforce Planning • Lead talent acquisition for on-roll and outsourced positions across Gujarat. • Engage with manpower contractors, negotiate terms, and ensure deployment adherence. • Conduct workforce forecasting, site manpower planning, and contractual workforce optimisation. Onboarding & Induction • Oversee joining formalities, induction programs, and statutory documentation. • Ensure alignment to corporate onboarding guidelines across all project sites. HR Operations & Data Management • Maintain updated HRIS data, employee records, attendance systems, shift schedules, and deployment logs. • Administer policies, employee communication, and HR documentation across project locations. Compliance, Statutory & Legal • Ensure 100% compliance with labour laws (PF, ESIC, CLRA, Payment of Wages, Shops & Establishments, etc.). • Conduct periodic contractor audits, documentation reviews, and statutory submissions. • Handle labour inspections, regulatory audits, dispute resolution, and legal coordination. Payroll & Benefits • Validate attendance, overtime, expense claims, and manpower deployment for payroll processing. • Manage statutory deduction records, salary adjustments, and benefits administration. Performance Management & Capability Building • Support development of KPAs/KRAs, performance monitoring, and appraisal cycles. • Facilitate capability development programs, skill training, and compliance training. Employee Relations & Grievance Management • Establish strong employee relations at office and site levels. • Address grievances, conduct counseling sessions, and support disciplinary actions. • Enhance engagement, retention, and welfare initiatives across Gujarat. C. Accountability • Ensuring full compliance with statutory regulations and contractor management. • Maintaining accurate HR & admin reporting, dashboards, compliance trackers, and manpower MIS. • Ensuring smooth functioning of administrative operations and cost optimisation. • Delivering high employee satisfaction through engagement and prompt grievance resolution. • Safeguarding confidentiality, integrity, and ethical handling of employee and company data. Qualifications & Experience • MBA / PGDM in Human Resources, Industrial Relations, or HR & Admin specialization. • 6-10 years of progressive experience in HR & Administration, preferably in multi-site operations. • Strong exposure to managing outsourced manpower and labour-intensive operations. • Thorough understanding of labour laws, compliance, contractor management, and HR processes. • Experience in handling office administration, facilities, procurement, and vendor management. • Proficiency in HRIS tools, MS Office, and data-driven reporting. Required Competencies • Strong leadership and team management abilities. • Excellent communication, interpersonal, and negotiation skills. • Analytical problem-solving capabilities and decision-making skills. • Ability to manage large teams and multi-location operations. • High discipline, integrity, confidentiality, and professionalism.
