Role Description
This is a full-time, on-site role for an Executive Assistant to the MD, based in Chandigarh, India. The Executive Assistant will be responsible for managing the MD's schedules, coordinating meetings and travel arrangements, preparing reports and presentations, and handling confidential information. Additionally, the role includes administrative tasks such as organizing documents, managing correspondence, and supporting day-to-day operations to ensure efficiency.

- Bachelor's degree in Business Administration or related field preferred
- Prior experience as an executive assistant is a plus

Position Overview:
The Executive Assistant to the Managing Director (MD) will play a critical role in ensuring the smooth operation of the executive office. This position requires a highly organized, proactive, and detail-oriented individual who can manage a wide range of administrative tasks, coordinate complex schedules, and facilitate effective communication within the organization. The EA will serve as a trusted liaison between the MD and internal/external stakeholders, ensuring that executive priorities and objectives are met.
Key Responsibilities:
Executive Support:

- Manage the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations for the MD.
- Handle sensitive and confidential information with discretion and professionalism.

- Meeting and Event Coordination:

- Organize and coordinate internal and external meetings, including preparation of agendas, meeting materials, and minutes.
- Plan and execute company events, conferences, and travel itineraries for the MD.

- Communication Management:

- Act as the primary point of contact between the MD and other executives, employees, clients, and stakeholders.
- Screen and prioritize incoming communications and ensure timely responses or follow-ups.

- Administrative Support:

- Oversee office operations, including managing office supplies, equipment, and facilities.
- Assist with budget tracking and expense reporting related to the MD's activities.

- Project Coordination:

- Support the MD in managing special projects and initiatives, ensuring that deadlines are met and objectives are achieved.
- Track project progress and provide regular updates to the MD.

- Research and Analysis:

- Conduct research on various topics as required by the MD, including industry trends, competitive analysis, and business development opportunities.
- Prepare briefing documents and reports based on research findings.

- Confidentiality and Integrity:

- Maintain a high level of confidentiality regarding all executive matters.
- Uphold the company's values and standards in all interactions and responsibilities.

Qualifications:

- Education: Bachelor's degree in Business Administration, Management, or a related field. An advanced degree or relevant certifications (e.g., Certified Administrative Professional) is a plus.
- Experience: Minimum of 7-10 years of experience as an Executive Assistant or in a similar administrative role, preferably in the automotive or manufacturing industry.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software and systems.
- Organizational Skills: Exceptional organizational and time-management skills with the ability to handle multiple priorities and meet deadlines.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with all levels of the organization and external stakeholders.
- Interpersonal Skills: Strong interpersonal skills with a professional demeanor and the ability to build relationships and work collaboratively.
- Problem-Solving: Proactive approach to problem-solving with a keen attention to detail and the ability to anticipate needs and address issues before they arise.
