This position combines administrative tasks with sales-related responsibilities, helping the sales team focus on generating revenue while ensuring accurate documentation, reporting, and customer communication. The Sales Admin Executive acts as the backbone of the sales team by handling documentation, preparing quotations, processing orders, tracking sales performance, and ensuring timely communication with clients. They also assist in streamlining processes, monitoring sales targets, and ensuring the delivery of a professional and organized customer experience. Key Responsibilities 1. Sales Support and Coordination Assist the sales team with day-to-day administrative and clerical tasks. Prepare and send quotations, proposals, and sales documents to clients. Follow up with customers regarding quotations, pending orders, and payments. Maintain effective communication between sales executives and internal departments (finance, logistics, operations, etc.). 2. Order Processing and Documentation Handle order processing activities including sales contracts, invoices, and delivery notes. Ensure that all sales transactions are recorded accurately and timely in the system. Maintain proper documentation of client details, purchase orders, and agreements. Coordinate with logistics and operations for smooth and timely delivery of products/services. 3. Customer Relationship Management (CRM) Update and manage customer records in the CRM system. Respond promptly to client inquiries and provide after-sales support. Assist in managing key client accounts and addressing customer concerns. Track customer feedback and share insights with the sales team to improve service. 4. Sales Data Management and Reporting Collect, analyze, and maintain sales data for performance tracking. Prepare regular reports on sales performance, targets achieved, and pipeline updates. Provide management with accurate sales forecasts and market analysis. Assist in creating presentations and reports for sales meetings and reviews. 5. Coordination with Other Departments Work closely with the finance department to follow up on customer payments and credit approvals. Liaise with marketing teams for promotional activities, campaigns, and events. Collaborate with logistics teams for order delivery, stock management, and inventory updates. 6. Administrative and Office Support Handle sales-related correspondence such as emails, calls, and letters. Schedule meetings, appointments, and sales reviews for the sales team and management. Assist in organizing client meetings, conferences, and exhibitions. Maintain filing systems, databases, and office records. Required Skills A Sales Admin Executive should possess a mix of administrative, analytical, and communication skills to support both the sales team and clients effectively. Communication Skills Clear verbal and written communication for client interactions and documentation. Ability to handle queries and resolve issues professionally. Organizational and Time Management Skills Ability to multitask and manage multiple sales orders, documents, and reports at the same time. Strong attention to deadlines and efficient task prioritization. Analytical and Numerical Skills Comfort with numbers, data analysis, and sales reporting. Ability to prepare accurate reports and identify sales trends. Computer Proficiency Proficiency in MS Office (Excel, Word, PowerPoint, Outlook). Familiarity with CRM systems, ERP software, or sales management tools. Customer Service Orientation Strong interpersonal skills to build trust with customers. Ability to maintain positive relationships through follow-ups and problem-solving. Problem-Solving Ability Handling client issues and providing practical solutions promptly.
