Role Overview The Hotel Receptionist serves as the first point of contact for all guests, delivering exceptional service and ensuring a smooth check-in and check-out experience. This role involves managing guest inquiries, coordinating communication between departments, and maintaining an organized and welcoming front desk environment. Key Responsibilities - Guest and Visitor Management: Greet and welcome guests upon arrival in a warm, professional manner. Assist with check-in and check-out procedures, respond to guest inquiries, and provide accurate information about hotel services, facilities, and local attractions. - Communication: Handle incoming calls and emails efficiently, respond to guest requests promptly, and coordinate with other hotel departments (housekeeping, maintenance, food & beverage, etc.) to ensure guest satisfaction. - Administrative Support: Maintain guest records, process payments, issue room keys, and update reservation systems accurately. Handle filing, photocopying, and other clerical tasks as required. - Front Desk Operations: Keep the reception area neat, organized, and presentable at all times. Manage mail, messages, and deliveries for guests and staff. Monitor inventory of front office supplies and ensure timely replenishment. - Scheduling and Coordination: Assist in scheduling guest services such as transportation, wake-up calls, and restaurant reservations. Support management with scheduling and coordination of meetings or special events. - Security and Compliance: Follow hotel security and safety procedures, verify guest identification during check-in, monitor access to guest areas, and report any suspicious activity to management. Qualifications and Experience - High school diploma or equivalent; hospitality or front office training preferred. - Previous experience as a hotel receptionist, front desk agent, or guest service representative in the hospitality industry. - Excellent communication and interpersonal skills with a strong customer-service orientation. - Proficiency in hotel property management systems (PMS) and MS Office applications. - Ability to multitask, remain calm under pressure, and handle guest issues professionally. - Well-groomed and confident appearance with a pleasant personality, reflecting the hotel's premium guest experience standards. - Flexibility to work shifts, weekends, and holidays as required.
