Job Overview

We are seeking a Mid-Level Executive Secretary to join with one of clients in the field of Hospitality. This role is full-time and will be based in multiple locations including Thiruvananthapuram, Cochin, Ernakulam, Kollam, Thrissur, Kottayam, and Kozhikode. Candidates must have 4 to 6 years of relevant work experience and are expected to efficiently manage executive duties and responsibilities, with a focus on administrative and organizational tasks.

Qualifications and Skills

- Demonstrated experience in organizational skills to ensure efficient management of office tasks and priorities.
- Excellent communication skills with a proficiency in verbal and written communication required for effective correspondence.
- Ability to maintain confidentiality and discretion since this role involves handling sensitive company information.
- Proven track record in calendar management for scheduling meetings, appointments, and ensuring no overlaps occur.
- Experience in coordinating meetings, including preparation, agenda management, and follow-up activities.
- Strong administrative support skills to assist the executive team in various office-related activities and initiatives.
- Solid experience in administrative assistance with a focus on documentation, filing, and information management systems.
- Capacity to multitask and prioritize tasks in a fast-paced environment, ensuring efficiency and attention to detail.

Roles and Responsibilities

- Manage executives schedules, including setting up meetings and appointments, and ensure all engagements are logged and prioritized.
- Handle sensitive correspondence, ensuring that confidential information is protected at all times.
- Act as a liaison between executives and clients, ensuring clear communication and addressing any urgent queries or tasks.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and distributing necessary documents and follow-up actions.
- Assist with travel arrangements and itineraries for the executive team, coordinating with relevant agencies or services.
- Prepare reports, presentations, and data as requested by executives to support decision-making and strategic planning.
- Ensure the office environment is organized, well-maintained and supplies are ordered and stocked as needed.
- Facilitate communication within the company, ensuring that all relevant information is passed to those concerned in a timely manner.
