Job Overview Cotton Concepts is seeking an experienced Executive Assistant / Personal Secretary to support senior management at its Coimbatore headquarters. This is a mid-level, full-time position for candidates with 4-6 years of relevant experience. The role requires high proficiency in managing executive calendars, travel arrangements, meetings, and effective communication with internal and external stakeholders. Candidates must have proven experience in travel booking, encompassing both domestic and international trips, including flight, hotel, and transport reservations. Qualifications And Skills - Demonstrated expertise in travel management, including planning itineraries and coordinating logistics (Mandatory skill). - Extensive experience in arranging hotel stays for executives and employees, ensuring comfort and convenience (Mandatory skill). - Proficiency in managing and organizing complex calendars, scheduling appointments and meetings to optimize executives time (Mandatory skill). - Ability to book air tickets accurately, handle last-minute changes, and manage related travel documentation and expenses. - Hands-on experience in travel booking for business trips, including securing airlines, hotel accommodations, and ground transport for executives and staff. - Competence in planning and scheduling meetings while coordinating with multiple stakeholders to ensure full participation. - Strong stakeholder communication skills for transparent and timely exchange of information with internal teams and external partners. - Experience handling petty cash, maintaining accurate records of expenses, reimbursements, and petty cash flow to support office operations. - High level of discretion and confidentiality in managing sensitive information and correspondence on behalf of senior management. Roles And Responsibilities - Manage day-to-day office activities and provide comprehensive administrative support to the management team. - Plan, book, and oversee travel arrangements, including domestic and international travel, hotel stays, and transport logistics, with direct responsibility for travel booking and itinerary coordination. - Maintain executives calendars, schedule appointments, and prioritize tasks to ensure effective time management. - Coordinate and organize meetings, prepare meeting agendas, document minutes, and follow up on action items as needed. - Serve as a liaison between management and internal/external stakeholders, ensuring clear communication and prompt responses. - Oversee petty cash management, process reimbursements, and maintain thorough and accurate financial records. - Draft correspondence, screen calls, and manage email communication on behalf of executives with professionalism and confidentiality. - Assist with various office management tasks including procurement of office supplies, file management, and maintaining records.
