Job Description

JOB DESCRIPTION

ROLE

Sr. Executive - Document Controllerto manage project-related documentation efficiently. The ideal candidate will be responsible for document classification, storage, version control, and compliance with industry standards. This role is critical in ensuring seamless document management across MEP projects while maintaining data integrity and accessibility.

KEY RESPONSIBILITIES

- Identify, classify, and maintain project-related documents, including contracts, technical drawings, compliance reports, and correspondence.
- Ensure accurate metadata (e.g., version, owner, status) is added to all records for easy retrieval.
- Compile handover documents for review and approval.
- File documents in the centralized Document Management System (DMS) or other designated systems, following proper naming conventions and folder structures.
- Retrieve and provide documents as requested by team members and stakeholders.
- Track and update document versions under supervision, ensuring changes are logged correctly.
- Support in maintaining an audit trail of all document revisions.
- Distribute approved documents to stakeholders, ensuring they receive the latest versions.
- Manage access permissions for specific documents based on confidentiality levels.
- Archive obsolete or completed documents in accordance with organizational policies.
- Ensure accessibility of archived documents for audits and compliance checks.
- Assist in preparing documents for internal and external audits.
- Ensure all assigned documentation complies with ISO or other relevant industry standards.
- Coordinate with team members to maintain consistency in documentation accuracy.
- Report any errors or gaps in documentation to the manager for resolution.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

QUALIFICATION

- Bachelor's degree or equivalent experience in Document Management, Business Administration, or a related field.
- Minimum 6+yearsof experience in document control within the MEP industry.
- Proficiency in Document Management Systems (DMS) and MS Office Suite.
- Strong understanding of version control, compliance standards, and audit processes.
- Excellent organizational skills with high attention to detail.
- Strong communication and coordination abilities.
- Ability to handle confidential documents securely and efficiently.

PREFERRED SKILLS

- Basic knowledge of MS Excel, Outlook, PowerPoint, Word
- Knowledge of AutoCAD
- Should be flexible with work
- Discipled and quick learner
- Basic written and oral English
