Description
We are seeking a highly organized and proactive Secretary to the Managing Director (MD) to provide comprehensive administrative support. The ideal candidate will have a strong ability to manage schedules, communicate effectively, and handle various administrative tasks that contribute to the smooth operation of the office.
Responsibilities
- Manage and organize the MD's calendar and appointments
- Prepare and distribute correspondence, memos, and reports
- Coordinate and schedule meetings, ensuring all materials are prepared in advance
- Assist with travel arrangements and itineraries for the MD
- Maintain and update filing systems and records
- Act as a point of contact between the MD and internal/external stakeholders
- Handle confidential information with discretion and professionalism
- Prepare minutes of meetings and follow up on action items
- Assist in the preparation of presentations and reports as required
Skills and Qualifications
- Proven experience as a Secretary or in a similar administrative role (2-12 years of experience)
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to handle sensitive information with confidentiality
- Strong attention to detail and problem-solving skills
- Good time management skills and the ability to prioritize tasks
- Professional demeanor and interpersonal skills
- Knowledge of office management systems and procedures
- Ability to work independently and as part of a team
