Job description of Personal Secretary to Director

Location: Gautam Buddha Nagar, Greater Noida | Uttar Pradesh

Job Type: Full-Time

Experience Required: Minimum 5 years as Personal Assistant/Secretary

CTC: Commensurate with experience and best in the industry

Role Overview

As a Personal Secretary to the Managing Director, you will play a pivotal role in managing day-to-day activities, ensuring the efficient organization of the Managing Director's schedule, and facilitating communication. Your attention to detail, confidentiality, and proactive approach will be crucial in this role.

Key Responsibilities

  • Manage the Director's calendar and schedule appointments.
  • Organize and prepare materials for meetings and events.
  • Handle incoming correspondence and emails, ensuring prompt responses.
  • Coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Assist in the preparation of reports, presentations, and other documents.
  • Maintain and update filing systems, both electronic and physical.
  • Liaise with internal and external stakeholders on behalf of the Director.
  • Perform general administrative tasks such as data entry, photocopying, and faxing.

Eligibility & Qualifications

  • Proven experience as a personal secretary, executive assistant, or in a similar administrative role.
  • Strong organizational and multitasking abilities.
  • High level of discretion and confidentiality.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Detail-oriented and able to work under pressure.
