Job Summary We are seeking an experienced and result-oriented Purchase Manager to handle end-to-end procurement operations for our supermarket chain. The ideal candidate will be responsible for identifying reliable suppliers, purchasing stock across all departments (grocery, dairy, fresh produce, frozen foods, personal care, household goods, etc.), managing purchase orders, maintaining inventory levels, and ensuring on-time deliveries to avoid stockouts or overstocking. This role requires deep knowledge of retail supply chains, strong negotiation skills, and the ability to forecast demand based on footfall, past sales, and seasonal trends. Candidates with prior experience in retail chains, FMCG distribution, or wholesale food and grocery sourcing will be preferred.Key Responsibilities1. Product Procurement & Vendor Management Source reliable vendors, wholesalers, and distributors for grocery, FMCG, dairy, beverages, bakery, vegetables, non-food items, and more. Negotiate rates, discounts, credit terms, and delivery timelines with suppliers. Develop and maintain a robust supplier database and categorize them based on performance and product categories. Monitor supplier compliance with quality, hygiene, delivery timelines, and pricing agreements. 2. Inventory Planning & Stock Replenishment Collaborate with store and warehouse teams to plan replenishments based on sales trends and consumption patterns. Monitor daily stock reports, fast-moving/slow-moving items, and ensure optimal stock levels at all times. Forecast procurement needs weekly or monthly, especially ahead of seasonal sales, festivals, and local events. Avoid overstocking, stockouts, or spoilage through accurate demand forecasting. 3. Purchase Order Management Prepare and issue accurate purchase orders (POs) to vendors based on indent or auto-replenishment triggers. Track order status and coordinate with suppliers to ensure timely deliveries. Verify invoice and delivery note accuracy before payment processing. Maintain clear records of all purchases, delivery notes, and payments for audit and reporting purposes. 4. Cost Control & Budget Adherence Track purchase prices and make comparisons to ensure competitive buying. Work within the procurement budget and initiate cost-saving strategies. Evaluate vendor rates and switch to better-performing vendors as needed without compromising on quality. 5. Quality Assurance Conduct periodic quality checks (with QC team if available) on perishable and packaged items. Coordinate with the receiving and store team to reject expired, damaged, or inferior quality goods. Ensure that food safety and shelf-life guidelines are strictly followed. 6. Team Coordination Coordinate with store managers, warehouse staff, billing departments, and category heads. Supervise or guide junior purchasing executives or assistants. Liaise with finance/accounting for timely vendor payments and reconciliation. 7. Reporting & Analysis Generate daily, weekly, and monthly purchase reports, category-wise analysis, and vendor performance metrics. Track purchase trends, vendor fulfillment rates, pricing fluctuations, and market availability.
