Assistant Administrator - English Fluency and Accounts Background Required

Position Overview: We are seeking an Assistant Administrator with a strong background in accounts and finance, who possesses exceptional English fluency, to provide essential support to our administrative operations. This role combines financial responsibilities with effective communication skills in English to ensure seamless coordination and enhance our organizational efficiency.

Key Responsibilities:
Financial Administration:Manage accounts payable and accounts receivable processes with meticulous attention to detail.
Process, verify, and reconcile invoices, expense reports, and financial transactions accurately.
Maintain up-to-date and organized financial records and documentation.
Collaborate in the preparation of financial reports and statements.

Schedule and manage appointments, meetings, and conferences for team members.
Prepare, edit, and proofread documents, reports, and presentations.
Maintain accurate and organized records, both electronically and physically.

Effective Communication:Serve as the primary point of contact for financial inquiries, expertly communicating with English-speaking stakeholders.
Draft, edit, and proofread correspondence to ensure clarity and professionalism in English.
Facilitate smooth communication between financial and administrative functions through English proficiency.

Office Operations:Manage office supplies, equipment, and inventory to ensure availability and proper functioning.
Coordinate office maintenance and cleanliness to provide a conducive work environment.
Handle incoming and outgoing mail, packages, and deliveries efficiently.

Financial Data Management:Organize and maintain financial files, records, and reports meticulously.
Assist in accurate data entry, ensuring compliance with financial regulations.

Calendar Management:Efficiently manage and update calendars for team members, ensuring proper coordination of financial and administrative tasks.
Assist in arranging travel logistics and accommodations when required.

Filing and Documentation:Maintain well-organized physical and electronic files for easy retrieval and adherence to company policies.
Contribute to efficient data organization and archiving.

Meeting Support:Prepare meeting agendas, materials, and distribute them in English.
Set up meeting rooms, including audiovisual equipment, and document minutes as needed.

Special Projects:Collaborate with teams to support special financial or administrative projects.
Assist in planning and coordinating events and initiatives.

Adaptability and Flexibility:Embrace evolving priorities and tasks as needed, contributing to a dynamic work environment.

Qualifications and Skills:

- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Proven experience in financial administration, accounting, or a similar role.
- Exceptional English language skills, both written and spoken, are essential.
- Proficiency in accounting software and Microsoft Office Suite.
- Strong attention to detail and accuracy.
- Outstanding communication skills in English, both written and verbal.
- Effective time management and task prioritization.
- Professional demeanor and strong interpersonal skills.
- Ability to work independently and collaboratively within a team.
- Familiarity with office equipment and basic office management practices.
