**FRONT DESK EXECUTIVE (FEMALE ONLY)**
**Responsibilities**:
**Reception and Greeting**:Warmly welcome and assist visitors, clients, and employees upon their arrival.
Answer and direct phone calls in a polite and professional manner.
Manage inquiries and provide accurate information about the organization.
**Administrative Support**:Perform general clerical duties, including photocopying, faxing, mailing, and filing.
Maintain cleanliness and organization of the front desk area.
Assist with the coordination of meetings and appointments.
**Communication**:Effectively communicate with various stakeholders, both in person and over the phone.
Notify staff of visitor arrivals and ensure a smooth check-in process.
**Customer Service**:Provide excellent customer service by addressing inquiries and resolving issues promptly.
Assist in handling customer complaints or concerns in a professional manner.
**Security and Access Control**:Monitor access to the premises and ensure only authorized individuals enter.
Issue visitor badges and maintain a log of visitor information.
**Mail and Package Handling**:Receive, sort, and distribute incoming mail and packages.
Coordinate outgoing mail and courier services.
**Record Keeping**:Maintain accurate records of visitors, calls, and appointments.
Assist in updating and maintaining employee directories.
**Collaboration**:Collaborate with other departments to ensure seamless communication and coordination.
Assist with special projects and tasks as needed
**Marketing Support**:Assist in the development and execution of marketing initiatives and campaigns.Coordinate the distribution of marketing materials and promotional items.Update and maintain digital and physical marketing displays in the reception area.
**Social Media Management**:Monitor and engage with social media channels, responding to inquiries and comments.
Assist in creating and scheduling social media posts that align with the organization's brand.
**Event Coordination**:Assist in planning and coordinating events, both internal and external.
Support the execution of marketing events to enhance the organization's visibility.
**Qualifications**:High school diploma or equivalent; additional qualifications in office administration, marketing, or related field is a plus.
Proven experience as a Front Desk Executive or similar role.
Basic understanding of marketing principles and practices.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Ability to handle stressful situations with a calm and professional demeanor.
Knowledge of basic office equipment, including multi-line phone systems.
