Position Overview
- As a receptionist, you will be the first point of contact for our organization. Your
primary responsibility will be to greet visitors, answer incoming calls, and provide
general administrative support across the organization. You will play a crucial role
in creating a positive impression of our company and ensuring efficient

Qualification
- 1) High school diploma or equivalent; additional education or training in office
administration is a plus.
2) Proven experience as a receptionist or in a similar role.
3) Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office
equipment (e.g., printers, scanners).
4) Excellent verbal and written communication skills.
5) Strong organizational and multitasking abilities.
6) Professional appearance and demeanour.
7) Ability to remain calm under pressure and handle challenging situations with
patience and tact.
8) Attention to detail and accuracy in data entry and record-keeping.
9) Knowledge of basic office procedures and protocols.
10) Customer service orientation and a friendly, welcoming attitude.

Job Description
- 1. Greeting Visitors: Welcome guests as they arrive, ascertain the nature
of their visit, and notify appropriate personnel of their arrival. Ensure visitors
sign in and issue visitor passes when necessary.
2. Answering Calls: Manage a multi-line phone system, answer incoming
calls promptly and professionally, direct calls to the appropriate person or
department, and take accurate messages when required.
3. Managing Mail and Deliveries: Sort and distribute incoming mail,
packages, and deliveries. Coordinate outgoing mail and courier services as
needed.
4. Administrative Support: Provide administrative support to various
departments, including typing documents, preparing reports, and
maintaining spreadsheets or databases.
5. Scheduling: Schedule appointments, meetings, and conference rooms.
Update calendars, arrange travel accommodations, and assist with event
planning as needed.
6. Maintaining Reception Area: Keep the reception area tidy and
presentable, ensuring it reflects a professional image. Manage office
supplies inventory and place orders when necessary.
7. Customer Service: Assist customers or clients with inquiries, provide
information about products or services, and direct them to the appropriate
resources for assistance.
8. Data Entry: Accurately enter and update data in electronic systems or
databases. Maintain confidentiality of sensitive information.
9. Communication: Relay important messages and announcements to staff
members. Facilitate internal communication by distributing memos or other
relevant materials.
10. Problem Solving: Handle minor customer or visitor complaints or
concerns professionally and escalate more complex issues to the
appropriate personnel.
