Office Operations Coordinator

**Key Responsibilities**:
- **Office Administration**:
- Manage office supplies and inventory, ensuring timely restocking and proper organization.
- Coordinate with vendors and suppliers to ensure smooth office operations.
- Handle office correspondence, including organizing and distributing mail.
- Maintain office records and filing systems (both physical and digital).
- **Operations Management**:
- Assist in the coordination and tracking of day-to-day operational activities.
- Support the smooth running of office equipment and ensure regular maintenance.
- Oversee the logistics of incoming and outgoing shipments or deliveries.
- Coordinate with other departments to ensure operations are aligned and efficient.
- **Billing and Stock Management**:
- Accurately generate and process invoices for clients and vendors.
- Track stock levels, monitor inventory, and ensure timely reordering of supplies.
- Conduct regular stock checks and maintain inventory records.
- Ensure that billing is aligned with current stock levels and purchases.
- Resolve any discrepancies related to billing or stock issues promptly.
- **Reporting**:
- Prepare daily, weekly, or monthly reports as required on stock levels, billing, and office operations.
- Maintain accurate data entry in the office management system and databases.
- **Customer Service**:
- Assist in addressing customer queries or issues related to billing and stock management.
- Provide excellent customer service when required, ensuring all issues are resolved efficiently.
**Qualifications**:
- High school diploma or equivalent (Bachelor’s degree preferred).
- Proven experience in office administration, operations, or related fields.
- Strong knowledge of office software (MS Office, Google Suite, etc.) and billing software.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Attention to detail with a proactive approach to problem-solving.
- Ability to work independently and as part of a team.
**Working Conditions**:
- Full-time position.
