**Role Overview**:
**Key Responsibilities**:
**Office Management**:
- Oversee daily office operations, ensuring a well-maintained, secure, and efficient office environment.-
- Manage office supplies, equipment, and service contracts, ensuring all IT equipment is up-to-date and functional.-
- Coordinate with vendors and service providers for office-related and IT-specific needs.-
**Administrative Support**:
- Provide administrative support to the IT management team, including scheduling meetings, managing calendars, and preparing technical documentation.Organize and maintain IT department files, records, and databases.-
**IT Coordination**:
- Assist the IT team with hardware and software inventory management.-
- Coordinate IT support requests, track issues, and ensure timely resolution by the IT support team.-
- Assist in the setup and configuration of new workstations and IT equipment.-
**Event Coordination**:
- Plan and coordinate company events, meetings, and technical workshops or training sessions.-
- Arrange travel and accommodation for staff and visiting IT professionals as required.-
**Financial Administration**:
- Assist with budgeting and financial tracking for the IT department, including processing invoices, expense reports, and budget tracking.-
- Prepare financial reports related to IT expenditures and assist with financial planning.-
**Human Resources Support**:
- Assist with the recruitment process for IT roles, including posting job ads, scheduling interviews, and onboarding new hires.-
- Maintain employee records and assist with HR documentation for IT staff.-
**Project Management**:
- Support various IT projects and initiatives, coordinating with different departments to ensure project timelines and goals are met.-
- Assist with documentation and tracking of IT projects, ensuring all project-related information is up-to-date.**Personal Specification**:
**Qualifications**:
- Bachelor’s degree in Business Administration, Information Technology, or a related field.- Proven experience in an administrative role within an IT environment.- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT tools and software.
**Skills and Competencies**:
- Excellent organizational and time-management skills.- Strong written and verbal communication skills.- Attention to detail and problem-solving abilities.- Ability to multitask and prioritize workload effectively.- Strong interpersonal skills and ability to work collaboratively with IT teams.
