Duties

The incumbent is responsible for official and personal travel arrangements for consulate personnel, temporary duty (TDY) and VIP visitors, including arrangement of all travel accommodations. The incumbent confirms tickets, hotel reservations and modifies travel arrangements for official visitors with appropriate accounting data. Serves as Post's expert on U.S. government (USG) and Department of State travel policy and regulation and advises consulate staff and visitors accordingly. This Position serves as the government technical monitor (GTM) for Post's travel agency contractor. He or She is responsible for requesting third-country visas for various countries for U.S. direct hire (USDH) employees, their family members, TDY visitors from the U.S. and other countries, who are on official visits. The incumbent works with hotels in the Hyderabad consular district to arrange lodging and works with airlines to ensure appropriate travel arrangements. The incumbent reports directly to the GSO(General Services officer) and is reviewed by the management officer.

**Post Travel and Contract POC**:
Handles all travel-related business for Post. Liaises daily with the travel contractor as Post's government technical monitor for the off-site travel agency contractor. ensures full compliance with all travel performed in accordance with the Foreign affairs manual (FAM), Fly America regulations, works closely with the contractor's staff, giving day-to-day instructions, directions, and defining tangible objectives to meet customer matters, in accordance with the ICASS Uniform Service Standards for Travel Services. Models excellent customer services standards at all times, communicates clearly, professionally and in a timely manner with colleagues at Post, within the Mission, and in the broader U.S. Government.

**Officials and VIP Visitor's Accommodation**:
Reconfirms tickets for visitors and adjusts itineraries as required, including outside of regular working hours. Arranges air, rail and vehicle transportation as needed throughout the Hyderabad Consular district. Communicates the special needs of guests directly to the concerned hotel/transportation carrier to ensure the best possible arrangements. The incumbent serves as a key interlocutor with hotels and arranges conference rooms, AV equipment, other special requirements as needed for visiting teams and conference participants.

**Advisory and Liaison Functions**:
Serves as Post's travel expert, advises superiors and customers as required, on changes to travel policies and procedures, travel regulations. Maintains direct contact with hotel senior staff to negotiate the most competitive rates for Post and ensures the availability of rooms at quality hotels for Post's travel needs. Establishes and renews negotiated rates with hotels throughout the Consular district for approval by the GSO. Serves backup to the Housing Coordinator when he or she is on leave. Other duties as assigned.

**Supervision**:
Writes EPRs(Employee Performance Reports), approves leaves, advises the travel clerk on travel policy issues, and customer service techniques. Monitors staff workload and advises GSO on adequacy of staffing levels.

Qualifications and Evaluations

**Requirements**:
EXPERIENCE**:Minimum of three (3) years of related experience in the travel or hospitality industry (e.g., airline, hotel, a travel agency, travel and event organization).**

JOB KNOWLEDGE: Knowledge of various airline regulations to prepare travel documents accordingly, knowledge of taxes levied by the host government on air/rail tickets and hotel room bookings. Good working knowledge of Indian customs, Airport Authority and Immigration to facilitate clearance of official personnel, standardized regulations on travel, use of travel guides, railway guide and familiarity with airline routing and fare calculation procedures.

**Education Requirements**:
**Completion of two years of college studies is required.**
