Job Title: Executive Coordinator
Summary:
The Executive Coordinator is a senior-level administrative professional who provides high-level support to the executive team of an organization. This includes managing the daily operations of the executive office, coordinating meetings and events, managing communications, handling confidential information, and ensuring the smooth functioning of the executive team's activities. The Executive Coordinator serves as a trusted partner to the executive team and plays a critical role in the success of the organization.
**Responsibilities**:
- Provide comprehensive administrative support to the executive team, including managing calendars, scheduling appointments, and coordinating meetings and events.
- Act as the main point of contact for internal and external stakeholders, including clients, partners, and other senior-level executives.
- Prepare and review documents, reports, presentations, and other materials for the executive team, ensuring accuracy and professionalism.
- Coordinate and manage travel arrangements for the executive team, including booking flights, hotels, ground transportation, and preparing detailed itineraries.
- Handle highly confidential and sensitive information with utmost discretion and maintain strict confidentiality at all times.
- Conduct research, gather data, and provide analysis on various topics as assigned by the executive team.
- Monitor and manage deadlines, follow up on action items, and ensure that the executive team is well-prepared for meetings and events.
- Collaborate with other departments and team members to ensure seamless coordination and execution of executive-level initiatives.
- Assist with special projects and events as needed, providing input and support to ensure successful outcomes.
- Maintain organized records and files, both electronically and in hard copy, for easy retrieval and reference.
- Provide guidance and support to junior administrative staff, as applicable.
Qualifications:
- Bachelor's degree in business administration or related field.
- Proven experience as an executive coordinator or similar role, supporting senior-level executives in a high-profile environment.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Exceptional communication skills, both written and verbal, with the ability to interact professionally with all levels of internal and external stakeholders.
- Strong attention to detail and accuracy in work, with the ability to produce high-quality materials and documents.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Strong problem-solving skills and ability to anticipate and address potential issues proactively.
- Ability to work independently and take ownership of tasks and projects, while also collaborating effectively with others.
- Flexibility to work outside of regular business hours when needed, and ability to travel as required.
- Professional demeanour, with a high degree of integrity and professionalism in all interactions.
- Knowledge of office management and administrative procedures, and ability to adapt to changing priorities and deadlines.
