This role often goes beyond traditional administrative duties, as executive assistants are relied upon for their organizational skills, ability to manage complex schedules, and capability to handle confidential information. Here are some of the core responsibilities typically associated with the role:
1. **Calendar and Schedule Management**
- Organizing and managing the executive's calendar, scheduling appointments, meetings, and events.
- Prioritizing and adjusting schedules to accommodate last-minute changes.
- Coordinating with other executives, clients, and team members to ensure availability.

2. **Communication and Correspondence**
- Acting as a liaison between the executive and other staff members or external contacts.

3. **Meeting Preparation and Support**
- Preparing agendas, presentations, and materials for meetings.
- Taking and distributing meeting notes or minutes and following up on action items.
- Organizing and coordinating logistics for meetings, including booking conference rooms, arranging audio/visual equipment, and handling catering.

4. **Travel Arrangements**
- Coordinating and booking travel plans, including flights, accommodations, transportation, and itineraries.
- Handling visa requirements, travel insurance, and expense reports.
- Ensuring the executive has necessary documents and information for their travel.

5. **Project Management and Research**
- Assisting with special projects, often involving research, data analysis, or reporting.
- Managing project timelines, tasks, and deliverables on behalf of the executive.
- Providing insights and recommendations based on research findings.

6. **Confidentiality and Discretion**
- Handling sensitive information with a high degree of confidentiality and professionalism.
- Managing confidential files, documents, and data securely.
- Acting with discretion in all interactions and communications.

7. **Office and Resource Management**
- Overseeing office supplies and equipment, ensuring availability and functionality.
- Coordinating with other departments (IT, HR, Facilities) to resolve issues or facilitate processes.
- Managing budgets and handling expense reports for the executive or department.

8. **Relationship Management**
- Building and maintaining relationships with key stakeholders, clients, and partners.
- Coordinating with other executive assistants or support staff to streamline communications and scheduling across teams.

9. **Problem Solving and Decision Making**
- Addressing any issues that arise, finding solutions, and keeping the executive informed.
- Making decisions in the executive’s absence or as delegated, ensuring continuity and productivity.
- Anticipating the executive’s needs and proactively resolving potential conflicts or challenges.

**Job Types**: Full-time, Part-time

Pay: ₹20,000.00 - ₹40,000.00 per month

Expected hours: No more than 60 per week
