**Job Summary**:
As a Front Office Executive, you will be the first point of contact for guests and visitors, providing exceptional customer service and administrative support. Your role involves managing the reception area, handling inquiries, coordinating guest services, and assisting with various administrative tasks. You will contribute to creating a positive and welcoming atmosphere for guests while ensuring efficient operation of the front office.

**Key Responsibilities**:

- **Guest Reception**:

- Greet guests and visitors warmly upon arrival, providing a friendly and professional first impression.
- Assist guests with check-in and check-out procedures, ensuring accuracy and efficiency.
- Manage guest inquiries, reservations, and requests promptly and courteously.
- Direct calls to appropriate individuals or departments and relay messages accurately.
- Provide information about the organization, its services, and facilities to callers and visitors.
- **Reservation and Booking Management**:

- Handle room reservations, appointment bookings, and event registrations as needed.
- Maintain reservation records, update availability, and confirm bookings with guests.
- Coordinate with other departments, such as housekeeping and maintenance, to ensure smooth guest transitions.
- **Administrative Support**:

- Assist with administrative tasks, including data entry, filing, photocopying, and scanning documents.
- Prepare and distribute correspondence, memos, and reports as directed by management.
- Maintain inventory of office supplies and place orders as needed to ensure availability.
- **Cash Handling and Billing**:

- Process guest payments, invoices, and billing transactions accurately and securely.
- Reconcile cash, credit card, and other payment methods at the end of each shift or as required.
- Follow established procedures for cash handling, including maintaining cash floats and balancing registers.
- **Guest Services Coordination**:

- Coordinate guest services, such as transportation, luggage assistance, and special requests.
- Provide information and recommendations about local attractions, restaurants, and amenities to enhance guest experiences.
- Address guest complaints or concerns promptly and escalate issues to management as needed.
- **Safety and Security**:

- Monitor the lobby area and entrance to ensure the safety and security of guests and staff.
- Adhere to security protocols, including verifying guest identification and monitoring access control systems.
- Respond to emergency situations, such as medical emergencies or security incidents, following established procedures.
