Executive Assistant to Trustee

1. POSITION IDENTIFICATION
- Designation: Executive Assistant
- Department: Administration
2. ORGANISATIONAL RELATIONSHIPS
- Reporting To: Managing Trustee
- Direct Subordinates: NIL
- External Relationships: Lawyers, Courier agencies, travel agents, etc
3. PURPOSE OF THE JOB
- The primary responsibility of the Executive assistant is to assist the managing trustee to manage administrative work.
4. KEY RESULT AREAS
- Manage Meeting Calendars of Managing Trustees
- Manage Important Records
- Prompt Reply to respective person on behalf of Managing Trustee
- Organize meeting with various agencies and departments
- Manage travelling and hotel booking of Managing Trustee
- Liaison work with lawyers and other agencies based on instruction by Managing Trustee
5. PRINCIPAL TASKS AND RESPONSIBILITIES
- Ensure Meeting schedules are prepared as per the instructions from Managing Trustee.
- Maintain records of trust boards and confidential documents including minutes & preparing annual report and write ups
- Arrange travel and accommodation as per the scheduled meeting of managing trustee.
- Organize online meetings with concerned parties.
- Take notes of the meeting held with various parties and communicate to the respective parties.
- Take approval and signature of important documents from managing trustee
- Coordinate with various departments for the assigned tasks given by managing trustee.
- Remind and follow up with managing trustee regarding his/her important meetings and tasks.
- Manage task list and TO-DO list of managing trustee and set reminder through google calendar interact with primary assistants (UJ/SA/BC).
- Organize meetings/ events as per the instructions by Managing Trustee
- Manage stationery such as letter heads, visiting cards of managing trustee.
- Prepare presentation (PPT)
6. PERSON SPECIFICATIONS
- Age ~ 27 -32 years preferable
- Qualifications - Graduate (B. Com with good grades), PA diploma or certification is a plus
- Experience - Minimum of 2+ years of experience, preferable as an executive assistant to managing director/ chairman
7. Skills
- Good knowledge of Word, Excel and Outlook
- Knowledge of Google Calendar
- Knowledge arranging virtual meetings.
- Knowledge of basic IT activities
- Disciplined and professional
- Knowledge of statutory and regulatory requirements
- Knowledge of preparing minutes of meeting
- Good handwriting: English & Marathi
- Typing at a reasonable speed will be an added advantage
- Should be proactive at work
- Proficiency in English and Marathi language, with speaking and drafting skills
**Job Types**: Full-time, Regular / Permanent
**Salary**: ₹250,000.00 - ₹300,000.00 per year
