**Job Overview**
We are looking for a dedicated and detail-oriented Facilities Executive to oversee the daily operations and maintenance of our company’s facilities. The Facilities Executive will ensure that all building systems, including mechanical, electrical, plumbing, and safety, are functioning optimally. This role involves coordinating with vendors, managing budgets, and ensuring compliance with health and safety regulations.
**Key Responsibilities**
- **Facility Management**:
- Oversee the maintenance and operation of building systems, including HVAC, electrical, plumbing, and safety systems.
- Ensure the cleanliness and maintenance of the facility, including regular inspections and addressing any issues promptly.
- Manage space planning and office layout adjustments to optimize space utilization.
- **Vendor Coordination**:
- Coordinate with external contractors and service providers for maintenance and repair work.
- Evaluate and manage vendor performance, ensuring timely and quality service delivery.
- Negotiate contracts and maintain relationships with suppliers and service providers.
- **Budget Management**:
- Assist in preparing and managing the facilities budget.
- Monitor expenditures and identify cost-saving opportunities.
- Ensure all expenses are within the approved budget and report any variances.
- **Health and Safety Compliance**:
- Ensure compliance with health, safety, and environmental regulations.
- Conduct regular safety inspections and audits.
- Implement safety policies and procedures, and conduct training sessions for staff.
- **Administrative Duties**:
- Maintain accurate records of facility operations, including maintenance logs, safety reports, and compliance documents.
- Assist in the preparation of reports and presentations related to facility management.
- Handle facility-related inquiries and resolve issues promptly.
- **Project Management**:
- Assist in planning and executing facility-related projects, including renovations and relocations.
- Coordinate with internal stakeholders and external contractors to ensure project timelines and budgets are met.
- Monitor project progress and report on status to the Facilities Manager.
**Qualifications**
- **Education**:
- Bachelor’s degree in facilities management, engineering, business administration, or a related field is preferred.
- **Experience**:
- Minimum of 3-5 years of experience in facilities management or a related field.
- Experience with building systems, maintenance operations, and vendor management.
- **Skills**:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in using facilities management software and tools.
- Knowledge of health and safety regulations and compliance requirements.
- **Technical Skills**:
- Understanding of HVAC, electrical, plumbing, and safety systems.
- Ability to read and interpret technical drawings and manuals.
**Working Conditions**
- Standard office environment with regular inspections of the facilities.
- May require occasional lifting of equipment or materials.
- Flexible working hours, with potential for responding to emergencies outside of regular business hours.
