**Job Summary**:
**Responsibilities**:
Greet and welcome visitors, clients, and employees, ensuring a positive and professional reception.
Handle incoming phone calls, direct calls to the appropriate personnel, and take accurate messages when necessary.
Assist in scheduling appointments, meetings, and conferences, ensuring all necessary resources are available.
Maintain office cleanliness and organization, including tidying up common areas and conference rooms.
Sort and distribute incoming mail and packages, as well as arrange outgoing mail and courier services.
Manage office supplies inventory and place orders when necessary, ensuring availability of necessary items.
Assist with basic bookkeeping tasks, such as recording expenses, managing petty cash, and maintaining financial records.
Perform data entry tasks, ensuring accuracy and completeness of information in spreadsheets and databases.
Provide general administrative support to the office staff, including photocopying, filing, and scanning documents.
**Qualifications**:
Minimum of 2 years of experience as an Office Assistant or in a similar administrative role.
Strong organizational and multitasking abilities, with the capacity to prioritize tasks effectively.
Excellent verbal and written communication skills, with attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills, with the ability to work well within a team and provide support to colleagues.
Self-motivated and proactive, with a willingness to take initiative and solve problems independently.
Knowledge of basic bookkeeping principles and experience with bookkeeping software is a plus.
High school diploma or equivalent qualification is required. Additional certifications in office administration or related fields are a bonus.
