Job Description

Role

Working closely with our Delhi admin team, you will assist in the office operations / administration services. You will report to both Head of Office & APAC Administrative Director who is based in Singapore. The job scope and responsibilities includes but is not limited to the following:
Job Responsibilities
- Provide on-going administrative support to office staff as needed
- Manage and coordinate administrative requests from our parent company in Montréal.
- Front of House Support:

- Professionally answer, screen and route all incoming calls
- Meet and greet visitors
- Carry out meeting room checks daily, ensuring they are kept tidy and neat at all times. Any issues are dealt with in a prompt and efficient manner
- Maintain an inventory of office supplies and ensure procurement.
- Manage all incoming, outgoing local / overseas mail, courier accordingly
- To be the backup in the absence of office coordinator on all office security related measures like fire safety, first aid kits, etc
- Assist and handle ad-hoc project assignments as required including senior leadership visits, office engagement activities, upcoming office move
- Work with administrative coordinator on new employee integration / onboarding eg IT equipment, mobile handset, workstation
- Timely process of vendor monthly invoices and closely working with finance team in Montreal on other related requests such as airline GST invoice, etc
- Participate in audit exercise as and when required

**Requirements**:

- Graduate degree in a relevant discipline (administration, office management)
- 6-8 years of experience in similar functions, an equivalent combination of education and experience may be taken into consideration
- Experience in a global setup and working in international offices
- Strong proficiency of general IT tools, particularly MS Outlook, Word, Excel
- Excellent command of written and spoken English.
- Good time management
