As an **Admin Executive**, you will play a crucial role in ensuring the smooth and efficient operation of the administrative functions within the organization. This position involves a combination of administrative, clerical, and coordination responsibilities to support the overall functioning of the office.

**Indus Parking Services (IPS)** is an emerging parking enforcement company located in the heart of Gurugram, India. We are a team of focused, determined, and enthusiastic professionals with expertise in managing parking spaces. We can deter unauthorized parking in commercial property, residential areas, and other places. Indus Parking Services takes care of the entire parking enforcement process. We also provide Operation Support to Euro Parking Services.

As an **Admin Executive**, your responsibilities will include:

- Point of contact for any facility and office management matters
- Coordinate with the IT department on purchases or maintenance of all office and employee equipment
- Point of contact for internal and external visitors, meetings
- Responsible for scheduling office meetings and appointments
- Maintain the office condition and arrange necessary repairs.
- Manage office boy and daily cleaners and ensure pantry and general office are regularly cleaned and maintained
- Manage and monitor purchases of office supplies and pantry supplies
- Work with Finance to manage office expenses budget, and ensure accurate and timely reporting of expenses including payments of invoices Human Resources:

- Assist HR in the onboarding process for new hires
- Responsible for corporate business travel arrangements and work with Travel Management Company and other vendors as applicable (visa, flights, land transports, lodging, meetings, and catering)
- Manage ad-hoc requests

**Executive services and secretarial duties**:

- Assistance for management for the General Manager
- Managed business travel-related arrangements for the Managing Director, and Management Team from Oman and North America
- Timely submission of the Managing Director’s monthly expense reports to the Finance Department
- Create, communicate, and cascade written communication, information, and announcement to and from multiple audiences within the business and the headquarter
- Adhoc requests from the executives of the Company and related parties

**Requirements**:

- Bachelor’s degree /diploma in any discipline
- At least 3 to 5 years of relevant working experience
- Thorough knowledge of office management practices and executive secretarial duties
- Flexible, resourceful, has strong organizational skills and is capable of managing and prioritizing tasks
- Ability to work autonomously
- Possess strong interpersonal skills and the ability to communicate effectively with internal stakeholders and external customers
- High level of professionalism and confidentiality
- Good working knowledge of MS Office
