Overall Functioning

Monthly Forecasting: To raise timely and adequate requisition of Inventory, equipment, products or staff requirement

Monthly turnover planning, offers & target roll out to be presented

Ensure Revenue growth and Profitability at the centre

Inventory Optimisation: Decision to be taken on the slow moving product on which should be kept or removed alongwith Doctor Incharge and Drive offers to liquidate sludge stock

Treatment Optimisation: Decision to be taken on the slow moving procedures on which should be kept or removed in consultation with the Incharge. Drive offers to improve cross conversions

To Oversee: Activities like Business Development, Client Servicing, Staff Management, Equipment upkeep ,Vendor Management etc.

Optimising productivity: Staff time management, cost management & doing revenue generating activity

Top priority: Ensuring the top notch client service, results and hospitality.

Consulting Conversions, revenue generation, (online&offline).

Calendar management: Recheck old data & convert them into new leads by calling them through Staff

To ensure daily tally DSR - Practo, petty cash and bank deposits are tallying

New Patient Appointment - Dr.Client, Practo, DM's on Instagram & FB, google

Follow up Appointment booking - Feedback, thank you & mastersheet callings

Audit overall hygiene and cleanliness of the clinic including each room

Team Management

Manpower planning: Attrition Management, Attendance management, leave escalations, check in check out, HR escalations, Induction, Allocate staff basis appointments to ensure efficency

Grooming - Coordinate for Uniform, badges & to ensure everyone is following hygeine protocols

Daily Meetings to be conducted with the staff

Team Engagement & Motivation: Daily activities, event planning in coordination with Farhana or floor coordinator

New Staff training, induction & reporting

Roll out Rewards & Recognition in consultation with HR

Develop protocols and procedures to improve staff productivity.

Client Front

Customer relationship builidng: Ensure smooth customer journey, engage in free time with customers and make them aware on various clinic offerings, feedback etc

Ensure Conversion : Single treatment, wellness plan, packages, cross conversions, unlimited packgaes, home care products

Managing unsatisfied & unhappy clients and escalate to seniors in good time. Handling refund clients without escalation as we have a strict no refund policy.

Customer Delight: Gifting, Birthday, anniversary & Wedding celebrations thru the staff and self

Support & Assistance

"Inventory management: ""Maintain inventory, equipments and other products and decorum of the clinic. To ensure optimum product usage and minimise wastage, expiry. "

New treatment / product : stay informed about new procedures and equipment to keep the clinic and treatments up-to-date.

Collaborations with Mumbai office to implement best practices

Help team members achieve their targets and make incentives by motivating them on a day to day basis

Identify ball drops in protocols and implement processes to make sure smooth day to day functioning

To be a point of contact for any emergency & to handle clinic phone calls at home.

To ensure company assets are kept upto date and not misused - laptops, electronics, equipments etc

Filing: Bills, warranties and vendor management

Social media content approvals and ideas

Reports

To ensure monthly check list completion (DSR, Practo, Petty cash, Consent forms, Incentive table, Referral sheet, Prescriptions etc)

To ensure timely creation of new monthly sheets,Incentive table, including audit, DSR, monthly checklists, MF, Referral etc

To tally product quantity received as per delivery challan with backoffice and submit bills for clearance

To coordinate with accountant for Reco

To conduct new staff examination

New Staff training feedback to HR & management

To submit minutes of meetings

Conduct Weekly & Monthly reviews

Client Profiling analysis to be published

Publish client feedback received vs treatments done on a daily basis. ( Details to be maintained for each Doctor, therapist and overall clinic )
