**Job Summary**:
The Facility Executive is responsible for overseeing the management, maintenance, and operations of company facilities. This includes ensuring that buildings and their services meet the needs of the people that work in them. The role involves coordination of services such as security, cleaning, and maintenance, as well as the management of office space, equipment, and other physical resources.
**Key Responsibilities**:
**1. **Facility Management**:
- Oversee the day-to-day operations of the facility.
- Ensure the building is maintained and fully operational.
- Manage and supervise all facility staff (e.g., cleaners, maintenance workers, security personnel).
**2. **Maintenance and Repairs**:
- Schedule and oversee regular inspections and maintenance of systems and equipment.
- Coordinate repairs and upgrades as necessary.
- Ensure compliance with health and safety standards.
**3. **Vendor Management**:
- Liaise with vendors and contractors to ensure high-quality service delivery.
- Negotiate contracts and manage relationships with external service providers.
- Monitor vendor performance and ensure timely delivery of services.
**4. **Space Management**:
- Optimize the use of space and manage office layouts.
- Plan and oversee relocations and renovations.
- Ensure effective allocation and use of workspace.
**5. **Budget Management**:
- Develop and manage the facility's budget.
- Monitor expenses and implement cost-saving measures.
- Approve purchase requests and maintain inventory of supplies.
**6. **Security and Safety**:
- Ensure the facility is secure and complies with all safety regulations.
- Implement security policies and procedures.
- Conduct safety drills and training for staff.
**7. **Customer Service**:
- Address and resolve any facility-related issues or complaints.
- Ensure a high level of customer satisfaction among employees and visitors.
**8. **Reporting and Documentation**:
- Maintain accurate records of facility management activities.
- Prepare regular reports on facility operations and performance.
- Ensure all documentation is up to date and compliant with regulatory requirements.
**Qualifications**:
- Bachelor’s degree in Facility Management, Business Administration, Engineering, or a related field.
- Proven experience in facility management or a related role.
- Strong knowledge of facilities management operations and best practices.
- Excellent organizational and leadership skills.
- Ability to handle multiple tasks and priorities.
- Strong communication and interpersonal skills.
- Proficiency in facility management software and Microsoft Office Suite.
**Physical Requirements**:
- Ability to conduct physical inspections of the property and equipment.
- Capability to handle minor repairs and maintenance tasks as needed.
