**Job Title: Personal Assistant to Managing Director**
**Location: Vithal Udyognagar, Anand**
**Reports To: CMD & Managing Director**
**Job Overview**:
The Personal Assistant (PA) to the CMD / Managing Director provides high-level administrative support to ensure the efficient and effective functioning of the MD's office. This role involves managing schedules, coordinating communication, and handling various administrative tasks to allow the MD to focus on strategic responsibilities.
**Key Responsibilities**:
**1. Calendar Management**:
- **Schedule and Coordinate**: Manage and coordinate the MD’s calendar, including appointments, meetings, and travel arrangements.
- **Prioritize**: Ensure all meetings and commitments are prioritized according to importance and deadlines.
**2. Communication**:
- **Act as Liaison**: Serve as the primary point of contact between the MD and internal / external stakeholders.
**3. Meeting Preparation**:
- **Arrange Meetings**: Schedule and organize meetings, including venue arrangements, catering, and necessary equipment.
- **Prepare Agendas**: Create and distribute agendas and ensure all necessary materials are prepared in advance.
**4. Travel Arrangements**:
- **Plan and Book**: Arrange complex travel itineraries, including flights, accommodation, and transportation.
- **Expense Management**: Track and reconcile travel expenses and prepare expense reports.
**5. Administrative Support**:
- **Document Management**: Maintain and organize files, records, and documents. Ensure confidentiality and accuracy.
- **Task Management**: Assist with the preparation of reports, presentations, and other documents as needed.
**6. Event Coordination**:
- **Organize Events**: Assist in planning and executing corporate events, meetings, and conferences.
- **Vendor Liaison**: Coordinate with vendors and service providers to ensure successful event execution.
**7. Project Assistance**:
- **Support Projects**: Provide support for various projects as directed by the MD, including research and data gathering.
**8.** **CMD / MD’s Personal Account Management**
- Prepare and maintain personal accounts of CMD / MD
- Produce and Report the updates of personal accounts to CMD / MD
**9. Personal Tasks**:
- **Handle Personal Errands**: Occasionally assist with personal tasks and errands for the MD as required.
**Qualifications**:
**Education and Experience**:
- **Education**: Bachelor’s degree in business administration or a related field.
- **Experience**: Proven experience as a Personal Assistant or Executive Assistant, preferably supporting senior management.
**Skills**:
- **Organizational Skills**: Exceptional organizational and multitasking abilities.
- **Communication**: Excellent written and verbal communication skills.
- **Discretion**: High level of confidentiality and professionalism.
- **Technology**: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- **Problem-Solving**: Strong problem-solving skills and attention to detail.
