Job summary
**Base Location: Head Office, Unit 4, Rathenraw Industrial Estate, Antrim**
**Reports To: Operations Director**
**30 hours per week, however given the nature of the services we provide, you may be required to work additional hours in line with business and client needs.**
The Sales & Operations Administrator will be focused on delivering the full remit of a sales and operations administration service in support of our key accounts reporting directly to the Operations Director. With the influencing, commercial skills and responsiveness necessary to overcome any challenges or barriers, the role holder will be responsible for administering high quality bid tender processes and identifying new opportunities, along with provision of operations management support to ROI business.
- Monitor prospective tender opportunities (via E-Portal), with responsibility for the completion of excellent tenders and supporting documentation
- Liaise with internal departments to ensure that tender documentation aligns with legislative requirements, business capabilities and the management systems in place; highlighting any cost or other liability risks
- Service existing and potential accounts as a point of sales contact; providing timely, professional and accurate quotations and documentation in response to client needs
- Support the Sales and Operations teams in all aspects of development of pricing, tariffs, statistics and analytics for existing and potential clients
- Contact and close new business opportunities and leads
- Monitor and benchmark business performance against key competition activity and competitive developments; innovations, etc; making recommendations to the Operations Director as necessary
- Provide comprehensive analysis and reports on client activity to the Operations Director, identifying opportunities for further revenues. This also includes the issuing and collation of client surveys
- Respond to ad-hoc prospective client enquiries in a timely and professional manner
- Day to day operational management of ROI business including management of staff, payroll information, holiday management and managing jobs on Navision (Finance Management System)
- To build and maintain working relationships with your colleagues and the company’s clients and suppliers
- To carry out any other relevant duties as may be required in line with business needs
Criteria
Demonstrable experience in a similar sales or general administrative role ina busy office environment, to include:
Highly IT literate - excellent working knowledge of the Microsoft Office Suite, in particular Word and Excel, with the ability to provide management reports and tender information
Must be proactive and able to work with minimum instruction
Ability to maintain confidentiality will be vital
Confidence to deal with staff at all levels
Excellent organisational and communication skills
Focused on solutions
Able to demonstrate excellent customer focus skills and awareness
Must have the ability to read, write and speak English to a fluent level
Ability to work as part of a team as well as on own
Excellent interpersonal, communications and presentation skills
Desirable criteria; sales administration experience to include proactive tender preparation
