**Job Summary**:
As a Purchase Assistant, you will play a crucial role in supporting the procurement team by efficiently handling various tasks related to purchasing and supply chain management. Your responsibilities will include coordinating with vendors, processing purchase orders, maintaining accurate records, and ensuring timely delivery of goods and services. The Purchase Assistant is expected to contribute to the smooth functioning of the procurement process and help optimize cost-efficiency.
**Key Responsibilities**:
**1. Vendor Coordination**:
- Communicate with vendors to obtain quotes, negotiate prices, and discuss terms and conditions.
- Build and maintain positive relationships with suppliers to ensure timely and reliable deliveries.
**2. Purchase Order Processing**:
- Generate and process purchase orders accurately and in a timely manner.
- Verify purchase requisitions and ensure they comply with organizational policies and budgetary constraints.
**3. Record Maintenance**:
- Maintain comprehensive and up-to-date records of purchase orders, invoices, and other relevant documentation.
- Regularly update the procurement database or enterprise resource planning (ERP) system.
**4. Price Negotiation**:
- Negotiate favorable terms, discounts, and pricing with vendors to optimize cost savings.
- Monitor market trends to identify opportunities for cost-effective purchasing.
**5. Delivery Coordination**:
- Collaborate with logistics and warehouse teams to ensure timely and accurate delivery of goods.
- Address and resolve any issues related to delivery delays or product discrepancies.
**6. Quality Assurance**:
- Work with quality control teams to ensure that purchased goods meet specified standards.
- Handle any issues related to defective or substandard products and facilitate returns or replacements.
**7. Budget Compliance**:
- Assist in monitoring and controlling expenditures within the allocated budget.
- Provide periodic reports on spending patterns and cost-saving initiatives.
**8. Policy Adherence**:
- Ensure compliance with organizational procurement policies, procedures, and ethical standards.
- Stay updated on industry best practices and changes in regulations affecting procurement.
**9. Communication**:
- Maintain open and clear communication with internal stakeholders to understand their procurement needs.
- Collaborate with various departments to streamline the procurement process.
**Qualifications and Skills**:
- Bachelor’s degree in business, supply chain management, or a related field.
- Proven experience in a similar role, preferably in procurement or supply chain.
- Proficiency in Tally, or similar accounting and inventory management software.
- Strong negotiation and communication skills.
- Attention to detail and accuracy in data entry and record-keeping.
- Familiarity with procurement software and ERP systems.
- Knowledge of relevant legal and regulatory requirements.
- Ability to work in a fast-paced and dynamic environment.
- Problem-solving skills and the ability to make sound decisions under pressure.
