**HOSTEL WARDEN RESPONSIBILITIES**

**Admin Related**

1. Preparing MIS report and sharing with the Reporting Manager on every Saturday.

2. The Warden should be available in the hostel office every day after the working hours to attend the hosteller problems.

3. Available to speak with both students and parents who are visiting the hostel office.

4. Hostel Application Forms to be verified by warden and to keep the records safe. Room allotment and payments also to be verified by the warden before allotting the room.

5. Hostel vacation forms are mandatorily collected during the exit of the students.

6. List of student details to be maintained in boys hostel who violates the timing during entry & exit.

7. Only students with a Clearance certificate to be allowed inside the Hostel during check-in.

8. Gate pass needs to be issued by the Warden only after informing the parent (Gate pass timing can be strictly maintained, 4.00 PM to 6.00 PM). Once the gate pass is issued, absentees need to be marked immediately in the attendance register. At the end of the day, the issued gate pass count and student list needs to be verified from the Security gate.

9. Manual & Biometric Attendance needs to be taken by the warden with the help of hostel security and to be verified on a daily basis.

10. The respective warden should take student’s attendance everyday by 8.00 PM in boy’s hostel.

11. To check the various registers and ledgers of the hostel office. Maintenance register (Electrical, Carpentry, Plumbing) & counselling register need to be verified on daily basis. If any issues reported, necessary action need to be initiated.

12. To maintain the track of hostel fee payments and allotment of room only after collecting the Application Form, undertaking letter, Address proof details & Fee Payment receipt student.

13. To maintain the coordination with other wardens for smooth running of day-to-day routine work of hostel and to supervise the working of hostel staff.

14. Before issuing gate pass to the students who are going out of the campus for their personal work, parents’ consent must be taken. Warden needs to approve the Gate pass.

15. To ensure that hot water timing is followed properly.

16. To maintain the documents/ records properly in hostel.

17. The warden needs to stop mess facilities in respect of those who have vacated the hostel or have been evicted.

18. Check the daily diesel usage and DG running status and accordingly place the diesel indent well in advance.

19. Make sure the temple priest is present in the morning and evening rituals. If not, notify the temple I/C immediately so that she can find another suitable priest to carry out the rituals.

20. Ensure STP operators are present in the campus day and night.

**Health & Recreation**

1. If any of the students reported that he/she is not well; immediate attention to be given to take care; during emergency report to the parent/local guardian immediately.

2. To ensure that no ragging takes place in the hostel and maintain ragging free hostel. Report the cases of serious indiscipline/ragging to the Principal for further action.

3. To deal with the acts of indiscipline of the students. If any student noticed to be misbehaving with staff/students, it needs to be brought to the notice of Principal immediately.

**Security Related**

1. Taking a campus round every day between 06:15 and 06:30 AM in the morning to ensure that installations are accurate and doing the same thing between 08:00 and 08:30 PM in the evening.

2. The warden will be responsible for the overall security of the hostel and will coordinate his/her responsibility with the Security Officer.

3. The warden needs to order locking of empty rooms and its re-opening, when required.

4. Visit the security main gate frequently and look after the security day to day affairs, which to include their leave /W/O and monitor incoming/outgoing materials and their register entry accordingly.

5. Compile all security gate transactions for the day in the evening and initiate a daily report that lasts until 10:00 or 10:30 PM.

**Canteen/Mess & Food Related**

1. To maintain the stock register of hostel and canteen.

2. To ensure the boys' hostel students receives the food on time.

3. To ensure the quality of food in the mess. Monthly change of menu needs to be discussed with students and inform to the senior hostel warden.

4. To coordinate with the Canteen Manager about the count for the next day to prepare Food. To inform the canteen manager about the holidays and also the students’ vacations. This will reduce the wastage of food.

5. Hostel Food Committee Members need to be identified floor-wise for food committee meetings.

6. With the assistance of the Mess Committee, The Warden needs to supervise the functioning of the mess and the working of the Mess Managers/Supervisors, Cooks and Helpers.
