- Organize and supervise other office activities (recycling, renovations, event planning etc.).
- Able to prioritize multiple assignments.
- Knowledgeable about organising team events.
- Analytical and able to resolve administrative issues.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Documents meeting minutes for staff, manage action items.
- Coordinate with other Executive Assistants to schedule meetings.
- Provide general department administrative processes.
- Leadership support.
- Printing, collating, as needed by the team.
- Ensuring timely preparation and processing of expense reports.
- Coordinating Executive Team Meetings, company conferences and meetings with Vendors.
- Track all documents for approval and signage.
- Develop and maintain a deep knowledge of the company business processes and systems in support of the duties and responsibilities of the position.
- Maintain Office facilities as needed.
- Provide administrative support to senior leadership.
- Able to take notes during brainstorms and team meetings.
- Handle meetings logistics (for both large and smaller team meetings) and oversight.
- Arranges teleconferences and meetings.
- Arranges and coordinates travel schedules and reservations when required.
