**Job Description: Office Assistant**
**Location**: ONE School of Business, Bangalore
**Department**: Administration
**Reports to**: Office Manager / Administration Head
**Position Overview**:
**Key Responsibilities**:
- **Administrative Support**:
- Provide general administrative support to the Office Manager and other staff as needed.
- Handle day-to-day office duties including filing, data entry, and maintaining office records.
- Coordinate the scheduling of meetings, appointments, and office events.
- Assist with the preparation of materials and documents for meetings, conferences, and other events.
- **Communication**:
- Answer phone calls, direct inquiries, and relay messages to the relevant department or individual.
- Ensure timely communication with internal and external stakeholders.
- **Office Management**:
- Maintain and organize office supplies, ensuring the office is fully stocked and operational.
- Coordinate with suppliers and vendors for office equipment and services.
- Assist in the maintenance and cleanliness of office facilities.
- **Record Keeping**:
- Maintain and update filing systems, ensuring documents are filed correctly for easy access.
- Ensure that both physical and digital files are organized and maintained in compliance with the organization’s policies.
- Handle document scanning, photocopying, and other clerical duties as required.
- **Event and Meeting Coordination**:
- Assist in coordinating meetings and events, including room bookings, setting up equipment, and preparing materials.
- Prepare refreshments for meetings and events when required.
- Provide support in organizing workshops, seminars, or other internal events.
- **Travel and Logistics**:
- Assist in coordinating travel arrangements for staff, including booking transportation and accommodation.
- Prepare and maintain travel itineraries and expense reports for staff travel.
- **Other Duties**:
- Provide any other administrative support as directed by the Office Manager or senior management.
- Assist in special projects and tasks as needed.
**Qualifications**:
- **Education**: Any graduate or equivalent qualification.
- **Experience**: 1-3 years of relevant experience in an administrative or office support role.
- **Skills & Knowledge**:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Basic knowledge of office equipment (printers, scanners, etc.).
**Desirable Qualities**:
- Strong attention to detail.
- Positive and proactive attitude.
- Ability to handle confidential information with discretion.
- Excellent multitasking abilities and a willingness to learn.
**Work Environment**:
- **Location**: ONE School of Business, Bangalore.
- **Work hours**: Full-time, Monday to Friday.
