**JOB BRIEF: -**
We are looking for a capable and friendly front office assistant to work at our reception area. In this role, your duties will include answering incoming calls, scheduling appointments, and welcoming visitors. You may also be required to order office supplies.
**JOB RESPONSIBILITIES: -**
Ø Handling incoming and outgoing calls.
Ø Assisting visitors and directing them to the appropriate department
Ø Vendor management
- dealing with the vendors which relate to facility services.
Ø Arrangements for training and conferences.
Ø Making arrangements for events and festivals
Ø Taking care of Pantry, Stationary & h/s stocks.
Ø Responsible for all facilities arrangements like pantry staff, Housekeeping staff, technician staff, and security staff
Ø Processing of vendors’ invoices
Ø Handling petty cash
Ø Maintain the monthly housekeeping, pantry, and stationery requirements.
Ø Coordination with the building facilities management for facility services and maintenance
Ø Assisting & supporting the HR department
Ø Assisting security inspection team
Ø Handling calendar of admin manager for Delhi NCR visit.
Ø Tracking the vendor invoices for payments.
Ø Maintaining daily consumption data, invoice tracker and MIS for admin related activities
Ø Handling issues & escalations related to facility & administration
Ø Maintaining daily attendance of all facility staff and security staff
Ø Courier management
Ø Maintain the AMC records of business associates
Ø Taking care of Pest control activities in the company
Ø Reporting to management and performing administrative duties.
Ø Answered telephone calls, as well as screening and forwarding calls.
Ø Scheduling and confirming appointments, meetings, and events.
Ø Welcomed and assisted visitors in a friendly and professional manner.
Ø Handling basic inquiries and sorting mail.
Ø Copying, scanning, and filing documents.
Ø Monitoring office supplies and ordering replacements.
Ø Keeping the reception area tidy and observing professional etiquette.
Ø Performing other administrative tasks, if required.
**REQUIREMENTS & SKILLS: -**
- Formal qualification in office administration, secretarial work, or related training.
- 2-3 years of experience in a similar role.
- Exceptional ability to create a welcoming environment.
- Experience in answering and screening calls, as well as scheduling appointments.
- Ability to observe business etiquette and maintain a professional appearance.
- Proficiency in appointments scheduling and call forwarding systems, such as Resource Guru and AVOXI.
- Working knowledge of printers, copiers, scanners, and fax machines.
- Excellent interpersonal and communication skills.
**Salary**: ₹15,000.00 - ₹30,000.00 per month
