**Role & Responsibilities**:
**1. Petty Cash Management**:
- Manage and reconcile office petty cash to ensure sufficient funds are always available.
- Process payments following the guidelines outlined in the Finance Manual.
- Maintain accurate and up-to-date records of all transactions.
**2. Bank Reconciliation and Cash Float Management**
- Perform monthly bank statement reconciliations.
- Conduct weekly reconciliations of cash floats issued.
- Reconcile vendor, party, and staff advances on a monthly basis.
**3. Voucher and Payment Preparation**
- Prepare and process payment/journal vouchers.
- Verify the accuracy of calculations and validate supporting documents.
- Ensure compliance with established finance procedures.
- Prepare cheques, manage banking activities, and process timely payments for contracts and agreements, such as telephone and internet bills.
- Ensure vendor payments are processed and dispatched promptly.
- Serve as the point of contact for credit card transactions.
**4. Filing and Record Management**:
- Maintain an organized filing system for both hard copies and digital records.
- Ensure all accounting software and cloud data are periodically backed up (weekly basis).
- Maintain an updated cheque inward/outward register.
- Keep accurate records of legal, statutory, and tax-related documents.
**5.Data Entry and Banking Operations**
- Record accounting entries promptly in accounting software.
- Liaise with banks to ensure smooth operations, including updating authorized signatories.
- Manage statutory payments and compliance (e.g., TDS, EPF, ESI, PT).
- Oversee accounting for payroll-related transactions.
**6. Relationship Management**
- Ensure key state and district office staff clearly understand finance processes and provide necessary support.
- Respond promptly to employee and stakeholder queries.
- Serve as the point of contact for ATLAS and ZOHO Expense Management tools.
- Participate in or lead internal stakeholder meetings alongside the People team to address queries or challenges.
**Required Skills and Experience**
- Bachelor’s degree with a minimum of 5 years of relevant experience.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Knowledge of accounting software is a plus.
- Enthusiastic, proactive, and capable of taking on challenges and leading initiatives.
- Exposure to or experience in the education or youth development sectors is advantageous.
- Strong communication and interpersonal skills.
- Flexible, self-motivated, and an energetic team player.
- Ability to work both independently and collaboratively with diverse teams.
