Job**:Executive Secretary **Position**:2**

Qualification**:Graduate in Any Stream**

Experience: 2-5 years (Prior experience as an Executive Secretary or any other relevant role is desirable)

You will be the one to organize and maintain the executive’s schedule, assist them by performing a variety of administrative tasks, and travel in and outside of India (on a short notice) when necessary.

**Qualities and Skills**:Extra-ordinary Integrity and who can maintain confidentiality, Self-motivated, Independent-Performer, who can prioritize tasks, quick learner, great time-manager, multi-tasker organizer, soft, friendly and polite demeanour, strong verbal and written communication, problem-solver, keen attention on details, negotiation abilities.

**Role Highlights**:

- Maintain executive’s agenda, calendar and assist in planning appointments, board meetings, conferences _etc_. Make travel arrangements for executives and travel when needed.
- Attend meetings and keep minutes.
- Receive and screen phone calls and redirect them when appropriate
- Meet and greet domestic and foreign clients and entertain them when required.
- Taking dictation and writing correspondence.
- Compiling, proofreading, and revising drafts of documents and reports.
- Handle confidential documents ensuring they remain secure.
- Prepare invoices or financial statements and provide assistance in bookkeeping.
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Conduct research and prepare presentations or reports as assigned.
- Develop and implement office procedures.
- Proficient in MS Office and “back-office” software (_e.g._ ERP).
- In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry.
- Familiarity with basic research methods and reporting techniques.
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Integrity and confidentiality

**Salary**: ₹15,000.00 - ₹36,000.00 per month
