The primary responsibility of the Procurement Executive is to execute the procurement process for IT hardware materials, from obtaining the requirements to selecting suppliers, negotiating contracts, and managing the delivery of the procured items. They work closely with the order processing department and other stakeholders to understand their hardware needs, specifications, and timelines.

**Responsibilities**
- **Procurement Planning**: Develop and implement procurement plans to meet the organization's IT hardware needs, considering factors such as budget, quality, delivery timelines, and vendor capabilities.
- **Vendor Selection**: Identify and evaluate potential vendors for IT hardware materials, considering their reputation, pricing, product quality, delivery capabilities, and after-sales support.
- **Request for Quotations (RFQs)**:Prepare and issue RFQs to shortlisted vendors, outlining the required specifications, quantities, delivery schedules, and any other relevant terms and conditions.
- **Supplier Negotiation**:Negotiate pricing, terms, and conditions with vendors to ensure the best value for the organization while maintaining quality standards and meeting delivery timelines.
- **Purchase Order Processing**:Process purchase orders accurately and efficiently, ensuring alignment with approved budgets and adherence to procurement policies and procedures.
- **Order Tracking and Follow-up**: Monitor the progress of purchase orders, track shipments, and communicate with vendors to ensure timely delivery of IT hardware materials.
- **Quality Control**:Collaborate with the IT department to establish quality standards for IT hardware materials and conduct quality checks upon receipt to ensure compliance with specifications.
- **Inventory Management**: Maintain accurate records of IT hardware inventory, including stock levels, locations, and expiry dates, to ensure efficient stock management and prevent stockouts or overstocking.
- **Contract Management**:Manage supplier contracts, including renewals, amendments, and contract performance evaluations, to maintain positive vendor relationships and enforce compliance with agreed terms.
- **Documentation and Reporting**: Maintain comprehensive procurement records, including purchase orders, contracts, invoices, and vendor correspondence. Prepare regular reports on procurement activities, such as cost savings, vendor performance, and procurement metrics, to support decision-making and demonstrate procurement effectiveness.

**Requirements**:

- **Educational Background**: A bachelor's/Master’s degree in a relevant field such as Business Administration, Supply Chain Management, or Procurement is typically required. Relevant certifications or professional training in procurement or supply chain management are advantageous.
- **Knowledge of IT Hardware**:Strong knowledge of IT hardware components, devices, and equipment is essential to understand specifications, technical requirements, and industry trends related to IT hardware procurement.
- **Procurement Experience**: Prior experience in procurement or purchasing, preferably in the IT hardware sector, is highly desirable. Familiarity with procurement processes, vendor management, and contract negotiation is important.
- **Understanding of Supply Chain Management**: A good understanding of supply chain management principles, including demand forecasting, inventory management, and logistics, is necessary to effectively manage the procurement process.
- **Vendor Management Skills**:Ability to evaluate and select vendors, negotiate contracts, and manage vendor relationships. Strong communication and negotiation skills are required to establish productive partnerships with suppliers.
- **Analytical Skills**:Proficiency in analyzing procurement data, market trends, and pricing information to make informed decisions. Ability to identify cost-saving opportunities, assess supplier capabilities, and evaluate proposals.
- **Attention to Detail**:Strong attention to detail is critical to accurately process purchase orders, review vendor contracts, and ensure compliance with specifications and procurement policies.
- **Organization and Time Management**: Excellent organizational skills to manage multiple procurement projects simultaneously, prioritize tasks, meet deadlines, and maintain accurate records. Ability to work efficiently in a fast-paced environment.
- **Problem-Solving Abilities**: Strong problem-solving skills to address procurement challenges, resolve conflicts, and make effective decisions in a dynamic procurement environment. Ability to identify alternative solutions and mitigate risks.
- **Proficient in Procurement Software**:Familiarity with procurement software and tools such as Enterprise Resource Planning (ERP) systems, purchase order management systems, and supplier relationship management tools is advantageous. Ability to use spreadsheets and other software for data analysis and reporting.
